Clients slip away and nobody notices

Your client base lives in WhatsApp chats, a paper logbook, an admin’s head and a spreadsheet nobody updates. Nobody can answer which of last month’s new clients never came back. And when a team member leaves, you find out how much of the base they considered theirs

A regular walks into your second location and shows up as a new client, so the numbers stop adding up. Someone books the most expensive slot on Friday, doesn’t come and doesn’t pick up the phone. Birthdays pass unnoticed, and the client who has been coming for three years gets the same message as a first-timer

For a salon with 800 active clients, losing just 15% per year to inattention and missing-data churn means roughly 120 clients gone. At an average lifetime value of €600, that’s €72,000 in revenue walking out the door – silently, year after year

You see who you are giving the slot to

Open the card – the whole relationship is on one screen. Every visit, every payment, every note your team left. And whether this one has cancelled an hour before

Visits, purchases, balances. Everything lands from the calendar: services, products, team member, discount. Total spend, average bill, last visit, what is owed or prepaid

No-shows stay on the record. A visit closed as a no-show stays in the history. Before you hand over Friday evening, you can see the pattern – and ask for a prepayment

Notes, files, your own fields. Preferences and allergies, before/after photos, signed consent forms – plus what your trade needs: skin type, car model, treatment plan

Which new clients never came back?

A third of the businesses that start with Altegio come for exactly this: getting clients to come back. The base sorts itself into new, returning and lost, and the invitations go out without anyone remembering to send them

01

The Lost tab answers the question

Ready-made tabs sort the base on their own: new, returning, lost, and clients whose membership is running out. You set how long a gap makes a client lost, so the list of new clients who never came back is always one click away

02

Win-back nobody has to remember

When a client has not booked within the period you set and has nothing upcoming, Altegio invites them back on its own. The same engine warns clients before a membership or a discount expires, so they use what they already paid for

03

Birthdays and reviews after the visit

A birthday greeting goes out a week ahead with an optional discount or bonus, and a review request follows the visit by itself. Those reviews then show up in Online Booking while a new client is choosing which team member to book

04

Any group in two clicks

Filter across appointments, client data and sales, and combine the criteria: women 25–35 who spent over €500 and have not been in for 45 days. Label the ones that matter with your own colour-coded client categories and your team sees them right in the appointment calendar

\ reminders and notifications
04 / 12

Every message goes out on its own, in your name

The most common ask in our support chat: reach the client before the visit, and control how the message sounds when it lands

01

What goes out automatically

A booking confirmation the moment the slot is taken, a reminder at the hour you choose, an alert if the time or the team member changes, a review request after the visit, a birthday greeting, and an invitation to rebook for anyone who did not show up

02

It sounds like you, not like us

Every notification type has its own template and every channel its own text. SMS arrives showing your business name, and 22 variables fill in the client’s name, date, service, team member and address. If the template says “salon” and you are a clinic, you rewrite it

03

Channels, and what they cost

Email and push are built in and cost nothing per message. SMS runs through an aggregator at its rates, WhatsApp through the Coexistence integration or the Altegio sender, other messengers through bots in Integrations

Rules can bend per client: override the reminder time inside a single appointment, or switch a channel off for one person who asked you to. And every message sent stays in the log, so you can see what arrived and what failed

\ visit discipline
05 / 12

Cancelled an hour before? Next time, prepayment first

The history in the client card is what makes the rule fair: you can see who keeps dropping out at the last minute, and only they get asked to pay in advance. New clients, everyone, or just the ones with an outstanding balance – you decide

01

Prepayment before the slot is confirmed

Ask for part of the price or the whole amount on the bookings it hurts to lose. The slot is confirmed only once the payment goes through, so peak hours, premium team members and your most expensive services stop being free to hold

02

A cancellation window that holds

Decide how late a client may move or cancel their own visit – twelve hours, twenty-four, whatever your calendar can absorb. After that the change goes through your reception, not through the booking widget, and the slot is not lost silently

03

A late-cancellation fee that charges itself

When someone cancels too close to the visit, the fee is taken from the deposit or the saved card – no awkward conversation at the desk. Choose who the rule covers: everyone, new clients only, existing clients only, or the ones with an outstanding balance

An app for your clients, not a shelf in a marketplace

Two ways to give clients a mobile home where they see only your brand: Altegio.me out of the box for free, or a custom app under your own name on App Store and Google Play

Altegio.me, ready out of the box

Your clients install one app and find only the businesses they actually visit – no marketplace browsing. Inside, each client sees their gift card and membership status, visit history, and gets push notifications about upcoming appointments. They keep you in their pocket – no need to remember your website or hunt you down on social media

Altegio.me client app with bookings, a membership and a gift card on the client’s phone

Your fully branded app

For chains and ambitious independents: a custom app on App Store and Google Play under your own name. Your icon sits on the client’s home screen – one tap away from booking, loyalty, gift cards, and offers. It’s the most direct communication channel a service business can have: no SMS fees, no social-media algorithms in between, no marketplace showing your client a cheaper competitor. Your brand. Their screen. One tap

\ one client base
07 / 12

A client from your other location is not a new client

When every location keeps its own base, the same person counts as new in the second salon and your numbers stop meaning anything. Altegio keeps one base for the whole chain

01

One base across all locations

Browse, search and segment the whole network from one screen. No duplicate profiles, no history split between locations

02

Full history from any visit

Open today’s appointment downtown and see that the client was at your other location three weeks ago – services, team member, amount paid

03

Loyalty that follows the client

Discounts, cashback, gift cards, memberships and client accounts can be set to work network-wide: earned at one location, spent at another

04

Granular access by role and location

Define exactly who sees what: a receptionist at one location does not need the whole chain’s base, head office does. GDPR-compliant visibility throughout

\ the base stays yours
08 / 12

The base stays with the business, whoever leaves

Behind most questions about access rights there is one fear: a team member walks out and the clients walk out with them. Here the base belongs to the account, not to the person who typed the numbers in

Rights by role and by location. Decide who sees the whole base and who only sees their own appointments, who may export and who may not. One location does not need the whole network’s client list – head office does

Your data leaves when you want it to. Export clients with their visits, sales and balances to Excel at any time. The base lives in your own account on EU servers, with GDPR-compliant visibility and signed consent forms kept on the card

Nobody stands between you and the client. Clients book with you directly instead of through a catalogue that shows three competitors first, and the reviews they leave build your name in your own Online Booking

\ loyalty
09 / 12

Loyalty ties the client to your brand, not to one team member

Discounts, cashback, memberships, gift cards and a referral programme run on the same base and carry your name. In a chain they can work across every location, so a card earned downtown is spent uptown – and when a favourite team member moves on, the reason to come back stays with you

\ migration

We move the history, not just contacts

Coming from another system? Tell us what you keep in it – our team moves the base for you, free of charge, and the visit history comes across with it

01

Send what you have today

Another booking system, a spreadsheet or a notebook that someone finally typed up – send the export you can produce and our team goes through it with you: clients and contacts, visit history, sales, balances, memberships and gift cards

02

Free, and done with a person

Migration comes with your onboarding and costs nothing. An Altegio expert walks the file through with you, so you are not left alone with a CSV and a help article on the evening before you switch

03

You hear the limits before you switch

If something in your file has no home in Altegio – a custom field, a treatment plan, a legacy discount rule – we tell you before the move, not after. Then you decide with your eyes open, and nothing disappears quietly

CRM questions service businesses ask us

The questions that come up in chat long before anyone asks about the price

Is Altegio a sales CRM with deals and funnels?

No, and the difference is worth stating plainly. Altegio is the back office of a business that sells booked time: clients, visits, history, money, team. There are no deal stages and no long B2B pipelines here. If you run those, connect your sales CRM through our REST API and webhooks

How is a CRM for service businesses different from a regular one?

A regular CRM walks one deal through stages until somebody signs. Here the relationship is a series of visits: the appointment calendar creates the record, the client card collects the history, and the result you measure is not a closed deal but the next visit they book

Which businesses is Altegio CRM for?

By size: from a solo master to a salon, a clinic, a franchise or a chain of dozens of locations on one base. By trade: anyone who sells booked time – beauty and barbering, spa and wellness, medical and dental, aesthetic medicine, auto service, tutoring, sports, pet care, private practice

How does managing client relationships actually work?

Three things running quietly. The client card keeps preferences, notes and the whole visit history. Notifications confirm the booking, remind before the visit and ask for a review after it. Loyalty – discounts, cashback, memberships, gift cards – gives a reason to come back to you

How is the client base protected under local law?

The base sits in your own account on EU servers. Access is granular by role and location, consent is collected in the booking form, any client can be excluded from promotions, and records can be exported or deleted on request. National rules on messaging differ, so keep your lawyer in the loop

How is this different from an aggregator or a marketplace?

An aggregator lends you its audience and keeps the relationship: the reviews, the points and the next visit stay with the platform, and the commission is its decision. Altegio is your own system – clients book on your page or in your app, messages go out in your name, and the base is yours to export

Can I connect AI tools to Altegio CRM?

Yes. Ready-made AI receptionists from independent vendors sit in Integrations: they answer clients in messengers around the clock and create, move or cancel appointments straight in your calendar, on the vendor’s own subscription. For anything you build yourself, the REST API and webhooks are open

Make every client yours

Start on your own base: free migration with an expert, seven days of everything, no credit card. And if it does not fit, you export your clients and walk away with them
