Cash, card, gift card, membership, loyalty card, client account, a QR code or a payment link: you choose which of them your team can take at checkout
Altegio helps appointment-based businesses automate their finance routine: it records every payment, cash register operation and expense in the same system as your appointments, so one set of numbers says what came in, what went out and what the month actually earned

We’ve had four beauty salons in Prague for ten years now. We calculate payroll through Altegio, we use the inventory constantly, we sell products – I think we use everything. Our client flow is big; handling it manually is simply unrealistic. 70% of clients now book online themselves. In Czechia there are plenty of CRM systems to choose from, but Altegio is the one that has everything
You take the money in the Appointment Calendar or online, and payments for services or products are automatically recorded as financial transactions
Cash, card, gift card, membership, loyalty card, client account, a QR code or a payment link: you choose which of them your team can take at checkout
Part on card, part in cash, on the same visit – available both in the desktop app and in the mobile app
A client’s account can be credited and hold funds for future services: write-offs are tracked as transactions, too
Send your client a payment link or a QR code, and the visit is paid before they arrive or before the service starts
Accounting for acquiring fees keeps your reports accurate: one method carries 1.5%, another a different rate per card brand
At checkout you choose which cash register the payment goes to, so income lands in the account it belongs to instead of one undivided pile
A client buys a shampoo at reception without an appointment: record the sale right in the Appointment Calendar, and it counts toward the day’s income next to the haircut paid before it, with no second entry anywhere
Filter appointments by payment status: all, fully paid, not fully paid, instead of scrolling a calendar and trusting your eyes
swipe through the ways money comes in →
Take the money once and it is already accounted for – with its method, its cash register and its time. Work a real week and read what comes out
A Payment Policy asks for a deposit or a card guarantee before the slot is confirmed, so an empty chair is not simply money you never see. Whatever happens next – the visit, a late cancellation or a no-show – is recorded in the same place as the rest of your money
No payment policy, a deposit that secures the slot, or a card guarantee with no money upfront. You choose which one applies to bookings in your widget
The policy covers the appointments you choose: selected services or whole categories, selected team members, all clients or only the new ones who are not yet in your client base, and only visits above an amount you set
You set the amount and the client sees it before paying. It sits on their client account until the visit, then goes toward the total
No money upfront, but a valid card, saved securely by Adyen so neither Altegio nor your business ever holds the full card number
Under a deposit, the no-show fee comes out of the deposit first. Under a card guarantee, the fee you set is charged to the saved card without the client present
The exact amounts and the window appear in the widget, and the appointment is not created until the client ticks acceptance. No pre-ticked boxes
The terms your clients accept are set out in the Payment Policy, where the amounts and windows are yours, not ours. Online payments run through the provider you connect: Altegio is not the payment processor, so availability depends on your country
Financial accounting in Altegio starts with the Appointment Calendar. After that, 3 things to set up
01
Every paid visit and every product sale becomes a financial transaction without anyone opening the Finance section
02
Add the accounts your money actually moves through, so every payment lands in the one it belongs to
03
12 common items come ready, such as product purchases, team salaries and taxes. Add your own on top, such as rent or marketing, and every operation is filed under one of them
That is the whole setup. After it, Finance holds one picture of money movement: income, expenses, transfers between cash registers, payouts to your team and acquiring fees

One record for the visit and its payment beats two systems that never quite agree. Move the money side to where your calendar already lives
A cash register in Altegio is not a machine on the counter: it is an account that money is recorded into – the drawer, the card acquiring account, a bank account. Every payment is assigned to one of them, so each account shows what should be in it right now
Two come by default, one for cash and one for cards. Add as many as you need: a separate register for retail keeps product sales apart from services, and one per payment provider keeps online payments apart from cash
Transfer funds between cash registers: taking the day’s cash to the bank is a move from Main to your bank account, recorded as an operation instead of vanishing
The acquiring fee your bank or payment service charges is written off automatically and appears as its own operation, so the register balance is the amount that actually landed
Every row in your transaction list carries 9 columns: date, document number, who paid or was paid, what it was for, the payment source, the comment, who added the operation, the amount and the register balance after it. That is what turns “the cash register is short” in a barbershop or a clinic into a name and a time

Each team member has payroll settings of their own, and Altegio applies them to every attended appointment, so what you pay out comes from the appointments you already have rather than a second set of numbers
The rules and rates live on the Salary calculation page. What belongs here is the payout: Pay salary settles a period for one team member or for everyone at once and opens a payment in Finance, so the money leaves a named cash register and appears in the transaction list like any other operation

Consumables are written off by the service that used them, and nobody has to count bottles. Turnover tells you how busy the business was; cost tells you which of that work was worth doing
Link a bill of materials to a service, and one hair coloring deducts 20 ml of dye, 20 ml of developer and a pair of gloves from your stock every time
What you paid the supplier sits next to what the client paid you, so the margin on retail is a figure rather than a feeling
The Services report in Analytics breaks every service down into earnings, consumables cost, payroll, loyalty payments and profit, and shows its share of your total revenue. Exports to Excel
That report is where profit separates from revenue: your best-selling service is not automatically your best-earning one. Stock levels and suppliers live in Inventory
Revenue is not profit until the money going out is counted too. Expenses are recorded in the same place as income, under items you name yourself, so what is left at the end of the month is a figure rather than a guess
12 items come ready, from product and consumables purchases to team salaries and taxes. Add your own for anything else, such as rent or marketing, and the report is grouped the way you already think about your costs
Keep one list of suppliers and partners and pick them when you record a payment. When a delivery arrives and you mark it as paid, the purchase is recorded as an expense straight away, with the supplier and the cost, so spending per supplier is one filter away
Pull every material purchase for a quarter in one step, instead of sorting a spreadsheet by hand and hoping the formula still works
Import financial transactions from Excel with 7 fields: date, supplier, payment item, cash register, comment, client phone number and amount
Income and expenses sit in the same place and are filed the same way, so the profit figure in the next section comes from the same appointments and sales
Every question you ask about the money has a named report behind it, and reports are grouped by what you are trying to find out – Attendance, Finance, Sales and Inventory – so you look for an answer, not for a tab
What you have actually taken today, and what all of today’s appointments are worth whatever their status. Both figures sit right in the Appointment Calendar and in Finance
What happened to the cash. Generated automatically at the end of each day, covering encashment and the transfer of cash
All income and all expenses over a period you set. Opens on the last week and goes as wide as you need
Income minus expenses for every month of the year, with months you can compare side by side
Every operation in one list, filtered the way you need it: one supplier, one expense item, one cash register, day by day

On your phone the Altegio Business Management mobile app carries 3 of these – end of day, daily and the report for the period – while its main dashboard is a quick look rather than a financial report. To see what one barber earned last month, or which service your clinic sold most, open Sales by Team and Sales by Services
An Altegio expert moves your data over, sets up your cash registers and expense items, and walks you through the reports that matter – free for 7 days
Access to money is not one switch, and it should not be: a team member checking their pay for the month should not also be reading the day’s revenue for your whole business
Viewing, creating, editing, deleting and exporting transactions are separate permissions: a receptionist can record payments without being able to delete them. The period report and the P&L open only to those you choose
All of your cash registers, or only the ones a team member actually works with day to day
Choose which types of transactions someone works with: a receptionist handles payments for services, products and memberships, while salaries and supplier payments stay outside their access
Give a stylist access to their own payroll only: on the web or in the mobile app they see what they earned and what is left to pay, but not their colleagues’ pay or your revenue
A viewing-period limit decides how far back someone can look, so a new receptionist does not read your last year
swipe through what you can lock down →
Reports follow the same logic: a role and its permissions decide who can see which report, and if a report or the whole section is not visible to someone, that is a setting the manager controls. The full list of finance permissions is in the knowledge base
Altegio is management accounting and your accountant still files: it tracks what came in and what went out, and it does not calculate or submit your taxes
Financial transactions export in a click, so the day’s sales can lie beside your bank statement and be reconciled line by line
A visit paid on credit sits as a debt on the client’s account until it is settled. A refund cancels the payment and the visit shows as not fully paid, so nothing owed or returned disappears quietly
In Spain, VERIFACTU transmits receipts, refunds and adjustments automatically and adds a QR code. In Brazil, Nota Fiscal is available to local businesses
The handoff is a file rather than an integration: Altegio gives your accountant the numbers per cash register, per category and per period, and the filing stays with them
Turn the data of arrived visits and their payments into a cash register that balances, payroll that calculates itself and a P&L you can read without a finance degree

6 questions the money side gets most often, each answered on its own
Accounting software for a service business records the money side of an appointment-based business: what your clients paid and how, what the business spent, what your team earned. In Altegio it is the Finance and Payroll sections, fed by the Appointment Calendar
Chain Analytics gives you the chain-wide view: a summary report, and a breakdown by location comparing revenue, average bill and other indicators. It lives in Analytics, while the named financial reports – the period report, the P&L and the transaction list – stay in Finance and Reports
The Altegio Business Management mobile app carries Payroll and 3 reports – end of day, daily and the report for the period. A team member sees what they earned and what is left to pay, while client accounts stay on the web
Finance and Payroll are part of the Altegio platform, not a separate product you add on. Start with a 7-day free trial; migration and support are free, and the current price for each plan is on the pricing page
No. Altegio is not the payment processor: the fee is set by the provider you connect, Stripe, Adyen, VivaWallet or one of the regional options. Altegio records that acquiring fee as its own operation, so your register balance stays real
There is no integration with QuickBooks or Xero: the handoff is a file. Altegio is management accounting – payments, cash registers, expenses and payroll – and it exports financial transactions to Excel. Your bookkeeping program keeps the tax and filing side of the business
Finance reads from the rest of your platform. These are the parts that write your numbers for you
