A beauty salon business plan is not a document for the drawer: it is the table that tells you what the launch costs, how many visits a month keep the place alive and when you pay yourself your first salary. Below is an 8-section template with 2026 numbers for Poland, the region’s biggest beauty market: costs in two scenarios, the break-even point and the labour office grant

Why you need a business plan: the labour office, the bank and your own table

A business plan has three readers, and only one of them is optional.

The labour office. In Poland, one-off funds for starting a business from the district labour office (PUP) are the cheapest capital there is: a non-repayable grant with a statutory ceiling of six times the average national wage, i.e. 55,398.78 zł between September and November 2026. The basic conditions: registered unemployed status and no own business in the last 12 months; local offices often set lower amounts. You apply on your office’s own form, and that is where the business plan stops being theory: the sections below cover all the fields of such a form

The bank. A start-up loan with no company history rests entirely on the document: the bank wants to see the financial plan, the repayment sources and your own contribution. Same table, different reader

You. The most important reader. Before you sign a 3-year lease, the business plan answers one question: how many visits a month must land in the calendar for the salon to pay for itself and for you. If that number looks unrealistic, better to find out now than after the renovation

The order of the sections is standard and fits both the labour office form and a conversation with a bank. For each section: what to write and an example figure.

1. Executive summary

Write it last, although it comes first. Five sentences: what you are opening, where, for how much, financed from what, and when the salon breaks even. Example: “A single-station beauty room in Radom, a 45k zł investment financed by the labour office grant and savings, break-even at 75 visits a month, reached in month 5”

2. Business description

The legal form and the scope. For a single owner the natural choice in Poland is a sole proprietorship (JDG) with activity code PKD 96.02.Z, which covers both hairdressing and beauty treatments. 3. Market and competitor analysis

You do not need an industry report: you need a map and an hour’s walk. Count the salons within 15 minutes on foot from the premises, write down their price lists from their online profiles and answer three questions: how you differ, what costs the same at theirs, and where the free niche is, in hours or in services.

The labour office and bank forms ask for a SWOT analysis in this section. Behind the acronym is an ordinary four-field table: what inside your salon works in your favour, what holds you back, and what opportunities and threats wait outside, in the neighbourhood and on the market. A short one is enough if it is concrete:

4. Services and price list

List the services with execution time and material cost, because a price list is really a valuation of the chair hour. Example: a 150 zł service that takes an hour and uses 15% in materials leaves 127.50 zł of margin per station hour. A service that takes two hours at the same price earns half of that: you only see this in the table, not in the price list

5. Target client and marketing

One sentence instead of a three-page persona: who comes, from where and what for. Example: “Women 25–45 from the estate and the nearby offices, a visit every 3–4 weeks, they book in the evening from their phone”. That last part is not a detail: in salons using Altegio about 30% of bookings arrive outside working hours, so the booking channel works when you no longer do.

Starter channels: a Google Business Profile with booking enabled, Instagram with a booking link, a flyer with a second-visit code in the letterboxes of the new estate. The budget in the example: 500 zł a month plus your time. Count the cost of the channel too: your own online booking costs a subscription, a marketplace takes up to 40% commission on an acquired visit

6. Team and organisation

The realistic starting option is working alone, and you plan hiring from the break-even point, not from dreams: an employee on the Polish minimum wage is 4,806 zł gross in 2026, i.e. about 5,800 zł of employer cost a month. Before you put a full-time job into the plan, check the real market rates in the trade and think through the pay model: fixed salary, commission or mixed

Two conclusions from this table. First, the labour office grant can finance most of a beauty room’s budget, which is why that form deserves to be taken seriously. Second, in a 4-station salon the team’s salaries alone are in the range of 20–25k zł of employer cost a month, so the reserve grows faster than the investment in furniture

Two things such tables usually lack. Your salary: in a sole proprietorship it is not an accounting cost, but a plan in which the owner works for free is not a business plan, just a wish list. The contribution steps: the Polish start relief ends after 6 months, the preferential contributions after 30, and from month 31 you pay in full. Costs rise on dates known in advance, so put them into the plan right away

The break-even point: how many visits a day keep the salon alive

The formula is shorter than its reputation:

break-even = (fixed costs + your salary) ÷ margin per visit

Margin per visit in the example: an average 150 zł service minus 15% for materials, i.e. 127.50 zł. Let’s count: 9,483 zł ÷ 127.50 zł = 75 visits a month. At 22 working days that is 3–4 visits a day: less than half of a calendar that fits 7 hour-long visits. From month 7, after the contribution step, the threshold rises to 78 visits: the difference is one extra visit a week.

The same formula shows the price of empty slots: at 5% of uncancelled no-shows you lose about 4 visits a month, i.e. over 500 zł of margin. How to push that percentage down with reminders and deposits, we laid out in the article on reducing no-shows.

Build the revenue plan from capacity, not from wishes: station times hours times realistic occupancy. The first month is usually half the threshold, not a full calendar, which is why the reserve from the investment plan is not theory. The most common mistakes in a salon business plan

  • Revenue from thin air: the plan assumes 80% occupancy from month one, while a realistic start is half the break-even point
  • The owner working for free: without your salary in the costs the salon “earns” on paper and starves you in practice
  • No reserve: the investment counted to the last złoty, and there is nothing left for the third month’s rent
  • Ignored contribution steps: costs rise in months 7 and 31 although nothing changes in the salon
  • Confusing revenue with margin: 15k zł of takings with materials, rent and a salary is not 15k zł for you; count on margin per visit, not on turnover
