Configuring and editing services

After the Categories are added and configured, add and configure Services in each category.

New service #

Go to “Settings” > “Main settings” > “Services”.

To add a service, click the “Create” > “Service” button.

Editing #

In the new window that opens, configure the service information.

The information is set up in different tabs:

  • “Main settings”
  • “Online booking”
  • “Advanced settings”
  • “Resources”
  • “Languages”

Main settings #

  1. Enter the “Name” of the service, for example, Men’s haircut.
  2. Select the “Category” of the service, for example, Haircuts. By default, the category in which you are creating the service will be selected.
  3. Enter the “Base price” of the service. Tick the “Set a price range” checkbox if needed, then specify the minimum and maximum price.
  4. Specify the “Service duration”. This duration will be selected by default when assigning services to employees. If necessary, you can set different durations for different employees.
  5. Specify the “Technical break duration after service”. If you need time for rest or preparation for the next client after the appointment, use this setting. You can read more about how to configure technical breaks via the link.
  6. Select the “Service type”“Appointment” or “Group event”. If you choose Group event, specify the group capacity. For individual services, an individual Appointment will be created in the Appointment Calendar, and for group services — an Event. For more details on setting up group events, see the article.
  7. Add the team members who perform the service so that clients can book appointments with them online or through the receptionist.

To add a team member to a service, go to the “Main settings” tab in the service settings.

Click “Assign team member” to choose from existing team members, or “Add new team member” to add a new one.

  1. You can set an individual service duration for each team member.
  2. If necessary, add bills of materials (for more about the purpose and configuration read here).

Online booking #

1. Specify whether the service will be shown in “Online booking”.

2. Specify the name for online booking. This is the service name that clients will see when booking online. If you leave the field empty, the main service name will be used.

3. Add a description of the service. Here you can describe how the service is provided: products, benefits, and any other information that will help the client make a choice.

  • The maximum number of characters in the description is 450.

4. Add an image that reflects the essence of the service.

  • Recommended image size — 645×300 pixels.
  • Maximum file size — 12 MB.

5. To enable online prepayment, switch on the corresponding toggle in the “Online prepayment” field. When online prepayment is enabled, clients will be able to pay for the service in the online booking widget.

6. You can forbid booking this service online without an active membership. To do this, switch on the “Prohibit online booking without membership” toggle. For group events, it is possible to enable both online payment and booking by membership at the same time.

    For individual services, this is not available. For such an event, the corresponding labels will be shown in the widget. At the checkout stage, a toggle (off by default) will appear at the bottom of the screen, offering the user to pay for the event with a membership.

    • If the client with the entered phone number has a membership for this service, they will be booked and the service will be deducted from the membership at the start of the session (if the option to automatically deduct the service from the membership is enabled).
    • If the client does not have an active membership for this service, they will see an appropriate error.
    • If SMS confirmation of booking is enabled in the location, the code will be requested first, and only then will the system check for a membership.

    Important

    If mandatory or optional payment is enabled in your location, when setting up individual services you can choose to either enable online prepayment or forbid online booking without membership — you cannot enable both settings at the same time. If you plan to use both options, you can create duplicate services, where one service has online prepayment enabled and the other is booked by membership.

    For example, individual service categories like Room rental and Room rental by membership, group events like Yoga and Yoga by membership, etc.

    If mandatory or optional payment is enabled in your location for group services (events), you can enable both settings at the same time — prepayment and booking with membership.

    During online booking, the client will be able to choose whether to pay for the service online or book it using a membership.

    For group services, only 100% prepayment is available.

    7. If necessary, switch on the “Service available for a limited time” toggle.

      Specify:

      • “In which period booking is available”
      • “At what time booking is available”
      • “Days available for booking” (“Weekdays only”, “Weekends only”, “Any day”, “Selected days” — for Selected days you need to mark the required days in the calendar).

      In the online booking widget, only time slots that fall within this interval will be available for this service.

      Important

      The “At what time booking is available” setting works even without the “In which period booking is available” setting. You can limit the booking time without limiting the overall period.

      If the time interval is, for example, from 12:00 to 15:00, the last booking can be made at 15:00.

      Advanced settings #

      1. Specify the “Service name on invoice”. If you leave this field empty, the main service name will be used.
      2. Select from the list the “Tax system” used in the company and specify the “VAT” rate.
      3. Select the “Payment profile” that will be used by default for this service.
      4. Configure automatic “Follow-up visit notification” for clients with an offer to visit again. The notification will be sent if, within the specified period, the client has not made a booking for this service in the company. You can also configure these settings in “Settings” > “System settings” > “Notification types” (detailed description in the article).
      5. Enable “Auto-deduction from memberships”. If the client has an active membership, the visit will be deducted automatically unless the client cancels the visit in advance. Specify “How many hours before the visit (maximum 48)” the client can cancel the visit without automatic deduction from their membership.

      Important

      if you set the value 0 in the “How many hours before the visit free cancellation is possible” setting, free cancellation is possible up to 5 minutes before the start. That is, automatic deduction will still work with the value of 0 hours.

      Resources #

      Add resources from the list that are required to perform the service so their availability is taken into account when booking the service. For more details on what resources are and how to create them, see this article.

      Languages #

      Specify the service name in other languages so that clients can see it when they change the language in the online booking widget.

      Select the required language and add the translation of this service name for it. You can read more about this setting here. At the end, be sure to click “Create” (if the service has not been created yet) or “Save”.

      Editing #

      If necessary, you can edit these settings, move services from one category to another, and add or delete services. To edit an existing service or delete it, click its name or the “Edit” button.

      To delete a service, click “Delete service”. A warning will appear: “Deletion will lead to irreversible consequences, loss of all related operations and settings.” — enter the word “DELETE” to confirm deletion.

      You can move services within the list inside a category. To do this, click the button with dots to the left of the service name and drag the row to the desired position. This order of services is shown both in the online booking widget and when creating a booking in the calendar.

      To quickly enable or disable online booking, click the toggle under the “Online booking” header next to the service name.

      If necessary, you can also quickly change the price, total service duration, link a bills of materials, assign a team member, and add a technical break. To do this, click the corresponding fields.
