Working with individual appointments

The Appointment Calendar is a digital calendar used to manage schedules and visits. All other modules are connected to client visit information, from the loyalty program to financial and inventory accounting.

After the company team members have been assigned a schedule, their information will appear in the Appointment Book. You will also be able to book clients for services with these employees.

Creating an appointment #

  1. To create a new appointment, click the required date in the calendar on the left — the schedule for the selected day will open.
  2. Select the team member and the time you want to book the client for. Click the “New booking” button that appears when you hover over free time in the calendar. Specify the session type: “Booking” (individual). (To create a group appointment, read here).

Note

The choice between an appointment and an event appears only for the Mixed appointment type. You can enable the ability to book both individual visits and group ones in Settings — Main settings — Appointment Calendar. Read more about this in the article.

  1. When you create a new individual appointment, an appointment window or visit window is generated automatically. A visit is appointments of one client combined by the Interval between visits of one client setting (configured in Settings > Main settings > Appointment Calendar). Read more here.
  2. Select a service and enter the client’s name and phone number — this is enough to create an appointment. The system will automatically fill in the team member, date, and time; you can change them if needed. Then click Save appointment. If necessary, you can create an appointment without client or service details.
  1. Now let’s move on to working with the created appointment. The appointment window can be divided into three zones:
  • The left part contains tools for additional appointment settings: selecting the employee, date, time, and duration, as well as pinning required fields (for example, comments or resources). This area also includes the Advanced fields, Appointment repetition, Appointment notifications, Consumables write-off, and Change history sections. For medical centers, the Current appointment section is also available in this zone
  • The central part is the appointment working area: visit statuses, services, products, and payment.
  • The right part is responsible for client-related actions: adding a client to the appointment, viewing client and visitor data, as well as the Visit history, Loyalty, Statistics, Messages and calls, Client accounts, and Files sections.
