Group booking: managing group classes and events

Group booking in Altegio helps organize classes, courses, and events where several clients participate at the same time. All actions related to participants—booking, payment, sales, and notifications—are handled in a single event window. The receptionist does not need to switch between sections and can manage the group quickly and without errors.

Working with the appointment calendar #

Seat control: the group does not become overcrowded #

A group event is created with a fixed number of spots. The system automatically tracks how many spots are occupied and how many are still available. When the group is full, booking is closed, so no new participants can be added to an already completed class.

For example, a fitness studio runs a training session for 12 people. The receptionist can see in real time how many spots are left and can quickly add participants or close the booking.

The receptionist adds clients to the event directly from the group class window. The participant list immediately shows the visit status, payment status, booking source, and client comments. All the necessary information is in one place, without needing to open the client profile.

Working with bookings #

Regular classes and courses: schedule is created once #

For businesses with recurring classes, training sessions, courses, or educational programs, the system allows you to create a series of events based on a set schedule. The receptionist configures the schedule once, and the classes appear in the calendar automatically.

For example, if a client signs up for training sessions every Monday and Wednesday for the whole month, the recepptionist can add them to all events in the series in just a few clicks, without creating each booking manually.

Tracking visitors without a separate phone number #

If a client books another participant, for example a child, the booking is created under the main client’s phone number while specifying the visitor’s name. The visitor appears separately in the participant list, and the receptionist works with their booking just like with a regular client.

Online classes for groups #

Group events support an online format. A webinar link can be added to the event and is automatically sent to all participants. If needed, the receptionist can resend the link directly from the event window.

Payments for group participants #

Payments are accepted directly in the client’s booking card: in cash, by card, with a membership, certificate, from the client’s balance, online via payment link, or by QR code. After payment, the status is automatically updated in the participant list. The receptionist can immediately see who has paid and who has not, without manual tracking.
