Multi-Event Booking Feature in Altegio

Altegio now lets clients book multiple events at once through the online booking widget.

Some clients often sign up for several consecutive events. With the new “Book another” option, they can now do this much faster. For example, a studio has a “Yoga” event that is always run by team member Sofie on Tuesdays and Thursdays. A client will be able to book several weeks of this event in advance in one go.

Read on in this article for details on how to set this up and how it works.

Important

Booking multiple events at once is available only with the same team member.

The maximum number of events in a single booking is 10.

Booking multiple events is available with a membership. In this case, Altegio will check whether the client has a membership that applies to the selected service in the event. However, at the moment Altegio does not take the remaining membership balance into account — meaning a client can book three events even if the membership has only two visits left.

Booking multiple events is not available if online prepayment is enabled for the branch. In this case, the “Book another” block will not be shown.

How it works #

To enable multiple-event booking, a new option Multiple event booking has been added to the widget settings.

  • If multiple-event booking is not enabled, the client can book only one event at a time. To book again, they must select the event again and re-enter their details.
  • If you enable multiple-event booking, then depending on the settings, the client can book 1 to 10 events at once with the same team member. If events are run by different team members, a separate booking must be created. There are also limitations related to prepayment and memberships.

The client selects a suitable event from the list and taps it.

On the next page, in the Book another block, they can choose additional dates for similar events with the same service and the same team member. If there are more than three suitable events, they can click View all dates to see the rest.

To select an event, the client checks the box; to unselect it, they clear the box. They can also filter events by a specific day of the week — in this case, all available events for that weekday will be shown. To filter by weekday, the client clicks the event date.

If needed, the number of spots in a single booking can be changed — for example, if you need to book for multiple people under one phone number.

After clicking Continue, the client only needs to enter contact details and confirm the booking. If needed, the number of selected events can be edited by clicking the pencil icon. Checked boxes indicate events that are already selected; to remove an event, the client must uncheck it.

On the next page, all created event bookings will be shown at the top. To open detailed event information, click the date button at the top. Each created event can be added to Google Calendar, and can also be cancelled if this option is enabled in the online booking general settings (Online booking > Settings > More options > Set cancellation and rescheduling rules).

The created event bookings are not linked to each other — each one can be rescheduled or cancelled in the appointment journal, in the widget personal account, and in the Altegio.me mobile app (if these options are enabled in the settings).

Setup #

Go to Online booking > Online booking links and click the required link name, or use the Set up button. If needed, create a new link for group booking.

Scroll down to the group booking settings. These settings are available only for widgets with group and mixed booking.

In the Multiple event booking block, enable Allow clients to book multiple events.

Select how many events a client can book at once: from 1 to 10. This setting does not affect the number of spots in a single event booking — it only defines the number of events for simultaneous booking. The number of spots in one booking is controlled by a separate appointment journal setting Allow occupying multiple spots within one booking (read more here).

Click Save.
