Behavioural segmentation turns that history into a few lists you can act on. Start with three segments – new, regular and lapsed clients – and treat your top spenders as a VIP layer on top of the regulars. Track two numbers above everything else: rebooking rate and average ticket. And before any list becomes an email or SMS campaign, make sure you can show that the clients on it agreed to marketing or fall under the narrow exception for existing clients.

TL;DR:

Behavioural data – service type, visit frequency and spend – is more useful for rebooking campaigns than age or gender.

Three segments are enough to start: new, regular and lapsed. Mark your top spenders as VIP.

In Altegio, client filters, the ready-made New, Returning and Lost lists and client categories cover most of the set-up; bulk messages go out by SMS, messenger or push.

Track return rate, rebooking rate and average ticket, and test each offer on part of a segment before rolling it out.

Under GDPR and the ePrivacy Directive, email and SMS marketing generally needs prior consent, and clients can object to direct marketing at any time.

1. Segmentation types and why behaviour beats demographics

Most salons default to demographic segmentation (age, gender, location) because it feels easy. On its own, it says little about who will book again. Psychographic segments (lifestyle, values) sound sophisticated but are hard to measure from appointment data. Value-based segmentation, often built on recency, frequency and monetary spend (RFM), gets closer to something useful. Behavioural segmentation – grouping clients by what they actually do in your salon – is the most practical starting point, because the data is already in your appointment history.

The logic is simple: a client’s next visit depends far more on the service she had and her usual rhythm than on her age. A colour client needs a top-up every few weeks whatever her birth year, while a client who came once for a wedding trial won’t respond to a six-week reminder.

For a salon, that means segments like:

Colour clients, who need aftercare advice and top-up reminders.

Cut-only clients, whose cycle is usually longer and more predictable.

Bridal or event clients, a one-off segment worth nurturing into regulars.

VIP or high-ticket clients, your highest-value group by spend and frequency.

Build around behaviour first. Add demographics only where they sharpen a message, never as the primary filter.

A note on RFM: Altegio has no built-in RFM score. You can rebuild its three ingredients with the client filters described below – the last visit period, the number of appointments and total sales. If you run a chain and want ready-made RFM segments, look at the Analytics category of the Integrations Hub: Smart-Metrika’s Power BI reports for chains, for example, include RFM client segments with lists ready for targeted messages.

2. How to build practical segments with client filters

Once you accept that behaviour drives value, the next job is turning it into filters your client base can apply. You don’t need forty segments. You need a handful that map directly to an action.

In Altegio, the list in Clients > All Clients shows each client’s number of visits, total spend and the dates of the first and last visit, and you can sort it by any of these columns. About 30 filters, combined with “And” or “Or”, narrow it down further:

Visit period: find clients who did or didn’t have an appointment in a given date range – the most useful filter for spotting drift before a client disappears.

Number of appointments: separates occasional visitors from genuine regulars.

Services and team member: colour, cut, nails or treatments, and who the client usually sees.

Total sales and cost of provided services: flag your highest-value clients regardless of how often they come in.

Client category: narrow any list to clients you have already labelled, for example VIP.

Ready-made client types save time: New (first visit in the last month), Returning (repeat visit in the last month) and Lost (no visit in the last 60 days). You can also save a combination of conditions as a filter and reuse it.

A sample rule for a wider window: lapsed means at least one appointment in the 90 days before the last 90 days, none since, and total sales above a threshold you choose, such as your median spend per client. In Altegio, combine two period filters with “And” – appointments in the earlier window, no appointments in the recent one – and add a total sales condition. The spend condition matters. A one-off client who never spent much isn’t worth chasing as hard as a regular whose visits have simply slowed.

Turn the segments your team needs to see into client categories. Categories are coloured labels – Permanent, Loyal and VIP exist by default, and you can add your own – and they appear next to the client’s name in the Appointment Calendar, so whoever is on the desk knows a VIP is coming before the visit starts. You can assign a category in the client card, to a whole filtered list with Bulk actions > Add to category, or automatically by rules you set.

Keep names short and consistent – New, Regular, Lapsed, VIP – and write down the rule behind each one where the whole team can find it. In a salon with several chairs, that consistency prevents the labelling drift that quietly ruins a segmentation system within a few months.

3. Automation and routines that keep segments current

Manual lists go stale the moment someone books, cancels or skips a rebooking. A client who was regular in January can be at risk by March, and nobody notices until revenue dips. The fix is to work from live data rather than exported spreadsheets.

In Altegio, filters run on the current appointment and sales history each time you apply them, so the New, Returning and Lost lists are always up to date. Several automatic notifications also go out on their own once you switch them on:

A repeat-visit invitation, with the interval set per service – for example, five weeks after colour and eight after a cut.

An invitation to book again after a no-show or a cancellation.

A feedback request after the visit is marked Arrived, birthday greetings and loyalty program notifications.

What stays a routine is the campaign itself. A fixed weekly slot is enough: apply the New and Lost filters, send the right bulk message to each list, and check who has crossed your VIP threshold, unless a rule already assigns that category automatically.

Pro Tip: Keep a human review point before any discount or high-value offer goes out. Automation should flag the decision, not make it unsupervised.

4. What to send each segment: message types, channels and timing

Segmentation only pays off once the messages actually differ. Sending the same promotion to a new client and a ten-year regular wastes the data you’ve just organised.

New clients: a thank-you message soon after the first visit, aftercare advice for the service they had, and a reason to book the second visit within the usual cycle for that service. The second visit is where a trial starts turning into a habit.

Regular clients: rebooking reminders timed to their normal cadence (every four, six or eight weeks, depending on the service), product suggestions based on past purchases, and loyalty rewards for consistency rather than one-off spend.

Lapsed clients: a personal note from their usual stylist often carries more weight than a generic discount. Filter the list by team member so each stylist can word the message for their own clients, add a time-limited offer and give the easiest possible route back – a direct link to online booking rather than a phone call.

VIP clients: early access to new treatments, priority slots or a loyalty perk that recognises their spend. Recognition often matters more to this group than discounts.

On channels, use SMS or a messenger for anything time-sensitive, such as a reminder or a last-minute free slot, and keep it short. Use email for longer content: aftercare guides, seasonal updates and loyalty program news.

Know what Altegio sends and what it doesn’t. Bulk messages to a filtered list (Clients > All Clients > Bulk actions) go out as SMS or messenger messages through a provider or chat-bot connected from the Integrations Hub, or as push notifications to your branded Altegio app or Altegio.me. Bulk messaging is switched on by Altegio Support, and SMS is billed by your provider. There is no bulk email in Altegio: for an email newsletter, export the filtered list to Excel and send it from an email service. Automatic notifications such as reminders and repeat-visit invitations can go by email, and that channel is free.

5. Measure impact: KPIs that show segmentation is working

Three numbers matter more than the rest: retention rate (the share of clients who return within a defined window), rebooking rate (clients who book their next appointment before they leave) and average ticket (spend per visit). A simple client lifetime value estimate – average ticket multiplied by visits per year – gives you a working CLV figure without complex modelling. With an average ticket of €55 and six visits a year, a regular client is worth €330 a year.

In Altegio analytics, Key Metrics > Attendance shows new, repeat and lost clients for a period, Return rate shows what share of the previous period’s clients came back, and the Client report lists revenue, average bill and number of visits for each client. There is also a client retention report by team member. Rebooking at the desk isn’t a separate report, so keep a simple tally of visits that end with the next appointment already made.

Set a baseline before you change anything. Then test segment by segment: send an offer to a randomly chosen half of a segment and compare the rebooking rate of both halves over a fixed window, typically 30 days, so you don’t credit the campaign with appointments that would have happened anyway. For SMS campaigns, the Received SMS mailing filter shows which clients booked after receiving the message.

Retention compounds. Every client who keeps coming back brings revenue without a new acquisition cost, which is why segmentation deserves a regular slot in your week rather than a one-off project.

6. Segmentation, consent and EU rules

Organising the clients you already serve is ordinary client management. Sending them marketing is where the rules apply.

Email and SMS marketing. The ePrivacy Directive (2002/58/EC, Art. 13) generally requires prior consent. The exception covers your own clients: if you obtained their contact details when they bought a service, you may market your own similar services, provided they could object free of charge when the details were collected and can do so in every message. National implementations differ, so check the rules in your country.

Proof of consent. Under GDPR (Regulation 2016/679, Art. 7), where you rely on consent you must be able to show it, the request must be clearly distinguishable from other terms, and withdrawing must be as easy as giving it.

Right to object. Under GDPR Art. 21, clients can object at any time to the use of their data for direct marketing, including profiling related to it. Once they object, you must stop.

Plan around what Altegio covers and what it doesn’t. The booking form collects a mandatory consent to personal data processing, but it has no separate marketing-consent checkbox, no double opt-in and no consent timestamp, and there is no automatic STOP handling. When a client opts out, use the Exclude option in their client card. Keep your own record of who agreed to marketing, when and how, and use a client category such as “Marketing OK” to filter campaign lists before every send.

7. A 90-day checklist for salon owners

Segmentation doesn’t need a quarter of planning meetings. It needs a sequence.

Days 1 to 30: clean up client data (duplicate client cards are merged by hand), sort out consent records, create the categories New, Regular, Lapsed and VIP, switch on repeat-visit invitations with an interval for each service, and record your baseline: return rate, rebooking rate and average ticket.

Days 31 to 60: start the weekly routine – a thank-you and second-visit message to new clients, a win-back message to lapsed clients – and leave half of each lapsed list untouched as a comparison group.

Days 61 to 90: split regulars by service and spend, introduce a VIP perk, compare rebooking rate and return rate against the baseline, and keep only what worked.

Ninety days is enough to set up, run and measure one full cycle for most services. It isn’t a guarantee of a set result: treat the first quarter as the baseline for the next one.

The consent clean-up in the first month matters most. A segment of clients who never agreed to marketing, and who don’t fall under the existing-client exception, can’t be used for email or SMS campaigns, however well it is built.

Running segmentation in Altegio

Altegio is a CRM for appointment-based businesses – beauty, wellness, clinics, auto, fitness and more – so the appointment history behind your segments is already in one place:

A client base with about 30 filters, ready-made New, Returning and Lost lists, and client categories shown in the Appointment Calendar.

Bulk messages by SMS, messenger or push, plus automatic notifications such as repeat-visit invitations.

A loyalty program toolkit – discount programs, cashback and bonus cards, memberships and gift cards – for VIP perks.

Analytics with attendance, return rate and client reports.

The price depends on the number of team members and the billing period – see pricing. To try the filters on your own client list, start the 7-day free trial; migration from your current system is free.

FAQ

What are the four types of customer segmentation?

The four most commonly used types are demographic, geographic, psychographic and behavioural segmentation. For salons, behavioural segmentation – grouping clients by service type, visit frequency and spend – is the most practical, because the data is already in the appointment history.

Who is the target audience for a hair salon?

A hair salon’s audience usually spans several behavioural groups rather than one demographic profile: new clients trying the salon for the first time, regulars who book on a consistent cycle, lapsed clients who have drifted away, and higher-spending VIP clients. Building segments around these behaviours works better than targeting by age or location alone.

What are the 6 steps of customer segmentation?

A practical sequence runs: collect clean client data, choose your segmentation criteria (behavioural first), define a clear rule for each segment, decide how clients move between segments, create tailored messages for each segment, then measure and adjust based on rebooking rate and average ticket. Filters that run on live appointment data keep this cycle going without rebuilding lists by hand.

What attracts clients in a salon?

Clients come back for consistency: a stylist who remembers their preferences, a timely reminder before they forget to rebook, and offers that feel personal rather than generic. A different message for a new client than for a ten-visit regular usually lands better than one blanket promotion sent to everyone.

Does Altegio have RFM segmentation?

Not as a built-in score. You can approximate recency, frequency and monetary value with the client filters for visit period, number of appointments and total sales, and save the combination as a filter. Ready-made RFM segments are available through analytics apps in the Integrations Hub, such as Smart-Metrika for chains.

How do I legally collect client data for segmentation?

For email and SMS marketing, ask for consent separately from your booking terms and keep a record of it; the ePrivacy Directive allows marketing your own similar services to existing clients only if they can opt out when their details are collected and in every message. Under GDPR, clients can also object at any time to direct marketing, including profiling related to it, so every segment-based campaign needs an easy way to opt out.

Read next

Reminders and deposits: how to reduce no-shows.

Salon Loyalty Programs: 7 Models That Work in 2026.

Client card – cosmetology, lashes, nails: what to record and a template to download.

Cross-selling and upselling in a salon: how to raise the average check.

This article is general information, not legal advice.
