So this list pairs a tax app that files returns in Germany and Belgium with local options for other countries, then adds the apps that work the same anywhere: N26 Business for the money, Altegio for bookings and deposits, Stripe and SumUp for cards, Canva and Google Business Profile for getting found.

In short

The tax app depends on your country: Accountable files VAT and income tax returns in Germany and Belgium for €29.90 a month on yearly billing; elsewhere a local app such as Moneybird, Indy or Holded prepares the forms

Keep business money apart: N26 Business Standard is a free account for the self-employed in 24 European countries

Bookings and deposits sit in one place: Altegio costs €29.99 a month for one or two people and takes deposits through Stripe and other providers

Cards are charged per payment: Stripe takes 1.5% + €0.25 per standard EEA card online, SumUp 1.39% per payment at the chair, with no monthly fee

Getting found can cost nothing: Google Business Profile is free, and Canva has a free plan

Seven apps compared

We took the jobs a chair renter does without the salon: the books and tax return, the money, bookings and deposits, card payments and getting found. They are also what makes chair rental real self-employment. Austria’s chamber of commerce for Tyrol describes a chair renter as someone who uses their own equipment, such as a till, and manages their own appointments, so that the arrangement isn’t bogus self-employment (WKO Tirol).

The salon’s booking system and accountant work for the salon. Your own clients, prices and records need your own tools, paid from what is left after the rent.

7 apps for chair renters, by job

Accountable and N26 Business come first for the money side; Altegio, Stripe, SumUp, Canva and Google Business Profile follow.

1. Accountable: books and tax returns in Germany and Belgium

Accountable is a bookkeeping and tax app for the self-employed in Germany and Belgium. You record invoices and expenses in it, and on the Taxes plan it prepares and files your VAT returns and the yearly income tax return.

Strengths: in Germany, the Taxes plan covers the advance VAT returns and the annual returns: income tax, profit statement, trade tax and the annual VAT return. There is a free invoicing plan and a 30-day money-back guarantee.

Best for: a chair renter in Germany or Belgium who wants the returns filed from the same app as the books.

Not for: renters in other countries, or VAT-registered renters on the cheaper Bookkeeping plan, which in Germany files the annual returns only for small businesses exempt from VAT. N26 Business: a free account for the business

N26 Business is an account for the self-employed and freelancers, opened in your own name, in 24 European countries, including Germany, France, Italy, Spain, the Netherlands and Poland. Paying the chair rent, the apps and suppliers from one account, and taking card payouts into it, gives your tax app a clean set of transactions.

Strengths: the Standard plan is free, with paid plans if you need more.

Best for: a renter who wants business money apart from personal money at no cost.

Not for: a renter who wants card acceptance in the account itself. In deposit mode the client pays a deposit when booking, through Stripe or another connected provider; it goes towards the bill at checkout, and you keep it on a late cancellation or a no-show. You can let clients cancel free up to 1 to 72 hours before the visit, and the deposit then stays on their balance for the next booking. Client cards keep allergies and treatment notes next to every past visit.

Best for: a renter with their own clients who wants bookings from Instagram and Google, reminders and deposits in one place.

Not for: tax work, which stays with your tax app. A no-show fee charged later to a saved card, with no deposit up front, needs Adyen as the payment provider, which has its own business verification.

Price: €29.99 a month for one or two team members, excluding VAT, on the German price list; longer plans and current offers are on the pricing page. Stripe: online deposits at EEA card rates

Stripe processes card payments online and in person and charges a rate per successful payment, with no setup or monthly fee.

Price: online, standard EEA cards cost 1.5% + €0.25, premium EEA cards 2.8% + €0.25, UK cards 2.5% + €0.25 and international cards 3.15% + €0.25, plus 2% when currency conversion is needed. In person, Terminal costs 1.4% + €0.10 for EEA cards, and Tap to Pay on a compatible iPhone or Android phone adds €0.10 per authorisation.

Strengths: with payment at booking, the client pays the deposit through Stripe in the same step as choosing the slot.

Best for: a renter who takes deposits with online bookings.

Not for: a renter whose clients mostly pay with premium or non-European cards, where the rate is about double. A Terminal reader is bought separately, from €59.

5. SumUp: a card reader at the chair

SumUp sells a small card reader and charges per payment, with no monthly fee on the standard rate.

Price: in Germany, 1.39% per in-person payment and 2.5% per online payment, at €0 a month. Readers cost €34 (Solo Lite), €79 (Solo) or €169 (Terminal), excluding VAT, and Tap to Pay on your own phone costs nothing extra.

Strengths: the Payments Plus plan, at €19 a month or €199 a year, lowers domestic cards to 0.79%.

Best for: a renter who takes most payments at the chair.

Not for: Payments Plus on small takings: SumUp says it pays off from €3,500 a month in card payments. In Altegio, mark the visit as paid by card, so your day’s takings match the reader.

6. Canva: posts and price lists for Instagram

In Canva you design posts, stories and price lists from templates, on the free plan or on Pro.

Strengths: Pro adds premium content, more design tools and AI features.

Best for: a renter who markets on Instagram and wants every post in the same look.

Not for: occasional posting, which the free plan covers.

Price: free plan; Pro is billed monthly or yearly at a price Canva sets per country.

7. Google Business Profile: a free listing on Google

Creating a Business Profile and listing your business on Google is free, and clients searching nearby see your name, your reviews and a link to book.

Strengths: Google’s guidelines let an individual practitioner with their own customer base have a profile in their own name at a shared location, separate from the salon’s, as long as clients can reach them there during the hours listed (Google). Put your Altegio booking link on it.

Best for: a renter whom clients find by searching for a stylist nearby.

Not for: booking inside Google. Reserve with Google works with booking partners, Altegio among them, in most EU countries, but Google’s policy requires the merchant to own the place where the service happens, adding “no booth renters” (Google). Germany’s pension insurer lists signs of bogus self-employment, among them having to follow all of the client’s instructions and keep set working hours (Deutsche Rentenversicherung). The EU Court of Justice treats a nominally self-employed person as a worker when someone else directs the time, place and content of their work (FNV Kunsten, C-413/13), and the Dutch tax office has enforced the rules on bogus self-employment fully since 1 January 2025 (Rijksoverheid).

Your own booking link, your own prices, your own till and your own client list are the everyday signs that you are in business for yourself. For the salon owner’s side of the arrangement, see how salon groups book chair rent.

Can you keep your clients if you move to another salon?

Yes, if they book through an account in your name. Under the GDPR, whoever decides why and how client data is processed is its controller (Article 4(7)): clients you book in your own system sit in your client base, while a list kept in the salon owner’s system stays with the salon when you leave. If clients book you through a marketplace, their record sits in the platform’s database.

The choice between a marketplace and your own booking comes down to who keeps that list and what each booking costs. A marketplace can be an extra channel if you know its price; the foundation is a booking link, a Google profile and an Instagram button in your name, which go with you to the next salon.

What does a year of apps cost one chair renter?

€718.68 a year for bookings in Altegio and Accountable with tax returns, before card fees. EU rules allow national thresholds up to €85,000: Germany’s is €25,000 in the previous year, the Netherlands’ €20,000 and Italy’s €85,000, while Spain has no exemption. Below the threshold you don’t charge VAT and can’t reclaim it on your costs.

Can a chair renter deduct the chair rent?

Yes, as a business expense in the countries we checked. In Germany any cost caused by the business is deductible, and the Dutch tax office lists the costs of business premises. Keep the rental agreement and the salon’s invoices in your bookkeeping app, so the rent is booked every month.

How big a deposit should a stylist take?

Common practice puts deposits against no-shows at 20–50% of the service price, mostly on long or expensive services and first visits. In Altegio, a payment policy can apply the deposit only to the services you choose, only to new clients, or only above a minimum visit amount.

Is a chair renter an employee or self-employed?

It depends on how the work runs, not on the contract’s name. Following the salon’s instructions and set hours point to employment. Your own equipment and till, your own appointments, prices and clients point to your own business. In Germany you can ask the pension insurer for a formal status check.

This article is for information only and is not tax or legal advice.
