Generic templates tend to put all sales on one line. That hides exactly what a salon owner needs to see: which services carry the business, how much retail really earns once stock is paid for, how much client money is prepaid but not yet earned, and what accepting cards actually costs.

In Altegio you won’t find a screen called “chart of accounts”. Its income and expense side is the Income and Expenses directory in Finance: every payment is recorded under a payment item, 12 of them come by default and you can add your own. Its cash side is Accounts and Registers, where each cash register and bank account keeps its own balance. The template below shows which line goes where.

How much freedom you have depends on where you trade. In some countries the chart follows a national framework – France’s Plan comptable général is one example – while in others a standard chart such as Germany’s SKR03 or SKR04 is common practice. Either way, the structure below works as a management layer: your accountant maps it to whatever your country requires, and you get numbers you can actually run the business on.

Income accounts every salon should use

Service revenue by category: haircuts, colour, nails, treatments. Separate lines show which services carry the business and which only fill the schedule.

Retail sales: products sold over the counter, kept apart from services because they carry a cost of goods and, in some countries, a different VAT rate.

Gift cards: record them as a liability when sold and move the value into revenue only when the client redeems it. Our guide to gift card management shows how to issue and track them across locations.

Prepaid service packages and memberships: money received in advance is deferred income. Recognise it as the sessions are used, not on the day the client pays. More on how memberships work in the loyalty program.

Chair rental income: rent paid by self-employed stylists who use a chair in your space. It’s income for you, but not service revenue, so give it its own account.

Refunds and discounts: a contra-revenue account that nets them against gross sales, so the top line shows what you actually kept.

Expense accounts to set up

Cost of goods sold: the purchase cost of the retail products you sell.

Consumables: colour, developer, wax, gloves and everything else used up during services. Tracking it separately shows the real margin of each service; see how inventory control writes consumables off automatically.

Payroll and employer contributions: wages, commission and the social contributions you pay as an employer. If you are still choosing a pay model, our article on fixed salary, commission or a mixed model walks through the trade-offs.

Card acquiring fees: the fees your bank or payment provider keeps on every card payment. This account deserves its own line, as the next section explains.

Premises and running costs: rent, utilities, cleaning, insurance, software subscriptions, marketing and training.

Card payments: record the gross amount, post the fee separately

When a client pays €80 by card, the full €80 is your revenue and the basis for VAT. The payment provider then keeps a fee and pays out the rest. If you book only what reaches your bank account, revenue and VAT are understated and the cost of accepting cards disappears from view.

The clean way is to book the €80 as revenue, post the fee to an “Acquiring fees” expense account and reconcile the payout against both. Then the fee is no longer an invisible deduction – it’s a cost you can see, compare and reduce.

That fee is rarely a single, simple number. Most providers charge a blended rate: one percentage averaged across all the card types your clients use, whether consumer or business, local or foreign. For small appointment businesses it typically lands somewhere between 1% and 3% of each payment.

What card fees really cost, and how to pay less

Once card fees have their own account, the monthly total is right there in your profit and loss. That’s when it becomes worth asking whether you pay more than you need to.

In Altegio, card payments through Adyen aren’t priced as a blended rate. For businesses in the EU and EEA, the rate depends on the card: 0.99% + €0.20 per transaction on consumer cards issued in the EU/EEA, which make up about 90% of transactions. Commercial cards cost 2.50% + €0.20 and consumer cards issued outside the EEA 2.90% + €0.20. The same 0.99% applies in EUR, CZK, PLN, DKK, RON and HUF, with the fixed fee adjusted for each currency. Full rates are on the Altegio and Adyen page.

Here’s what that means for a business taking €12,000 a month by card, with an average payment of €60 (200 payments), 90% of them on EU/EEA consumer cards:

Monthly fees

Blended rate of 2.5%

€300

Adyen in Altegio: €10,800 × 0.99% + €1,200 × 2.90% + 200 × €0.20

€182

Difference

€118 a month, about €1,400 a year

On an average turnover, that difference can cover the cost of your Altegio subscription. Your own result depends on your current rate, your average payment and the mix of cards your clients use, so take the figures from your last processing statement and run the same sum. Subscription prices depend on the number of team members and the billing period and are listed on the pricing page.

How Altegio records card fees and payroll for you

A separate fee account only helps if someone keeps it up to date. In Altegio that happens on its own:

Fees per payment method and card brand. In the Payment methods and fees settings you set one acquiring fee for all cards, or card-specific fees if your provider charges different rates for Visa, Mastercard or other brands. For online card payments, the fees come in automatically from your payment system settings.

Automatic write-off. Every card payment creates a write-off under the Acquiring fee expense item, linked to the original payment. It shows up in Financial transactions, in the financial report for a period and in the P&L report, and if the payment amount changes, the fee changes with it.

Pay calculated from the money you actually keep. In the payroll settings you decide who covers the acquiring fee: split between the specialist, assistants and the business in the same proportions as their pay, paid by the specialist, or covered entirely by the business. Commission can then be calculated from the net amount after the fee, not from the gross card payment.

The result: revenue stays gross for VAT, the fee is a visible expense, and team members’ pay follows the rule you chose – without anyone recalculating it at the end of the month. See finances and accounting and payroll calculation for the details, or our walkthrough of payroll rules, daily runs and settlements.

A chart of accounts template you can copy

Copy the table into a spreadsheet and adjust the names to your services. The codes follow a common four-digit layout: the first digit is the group, so new accounts always have a place. If your country prescribes its own numbering, keep it and use these lines as sub-accounts.

The last column shows where each line lives in Altegio: a payment item in Finance > Income and Expenses, a cash register in Accounts and Registers, or the Inventory and Payroll sections. Lines marked “custom payment item” are ones you add yourself with Add new category.

Code

Account

What goes here

In Altegio

Assets

1010

Cash in registers

Cash in the till at each location

Accounts and Registers

1020

Business bank account

Your main current account

Accounts and Registers

1030

Card payouts in transit

Card payments taken but not yet paid out by the provider

Processing time in Payment methods and fees

1110

Retail stock

Products held for sale, at cost

Inventory: products and cost prices

1120

Consumables stock

Colour, developer, wax, gloves held for services

Inventory: consumables

Liabilities

2010

VAT payable

VAT charged on sales minus VAT you can reclaim

Your accountant’s VAT records

2020

Gift cards outstanding

Value of sold gift cards not yet redeemed

Payment item: Gift cards sale

2030

Prepaid packages and memberships

Money received for sessions not yet used

Payment item: Membership sales

2040

Client account balances

Money clients have deposited to their personal account

Payment item: Client account top-up

2050

Tips payable

Card tips collected for team members, not yet paid out

Custom payment item

2060

Payroll payable

Pay earned by team members but not yet paid

Payroll: accruals and settlements

Equity

3010

Owner’s capital

Money you put into the business

–

3020

Owner’s drawings

Money you take out for yourself

–

3030

Retained earnings

Profit kept in the business from earlier years

–

Income

4010

Services: hair

Cuts, styling, blow-dry

Paid appointments, by service category

4020

Services: colour

Colour, highlights, toning

Paid appointments, by service category

4030

Services: nails and treatments

Manicure, pedicure, facials, massage

Paid appointments, by service category

4100

Retail sales

Products sold to clients

Payment item: Product sales

4200

Gift card redemptions

Gift card value used to pay for a visit

Visit paid with a gift card

4300

Chair rental income

Rent from self-employed stylists

Custom payment item

4800

Other income

Anything that fits nowhere else

Payment item: Miscellaneous income

4900

Refunds and discounts

Contra-account netted against sales

Client refunds

Cost of sales

5010

Retail purchases

Products bought for resale

Payment item: Product purchase

5020

Consumables

Materials used up in services

Payment item: Consumables purchase; Track locations and team members with tags or cost centres instead of duplicating accounts: ten near-identical “Services – Location 2” lines make reports harder to read, not easier. And give every new service or supplier a home in the table before its first invoice arrives.

VAT: what your chart needs to keep apart

Sales by VAT rate. Services and retail products can be taxed at different rates, and some countries apply reduced rates to certain services. Keep each rate on its own account rather than in one sales total.

VAT on purchases. Separate VAT you can reclaim from VAT you can’t, so your return can be prepared straight from the ledger.

Gift cards. Under the EU rules on vouchers, a single-purpose voucher, where the place of supply and the VAT due are known when it’s sold, is taxed at the time of sale; a multi-purpose voucher is taxed when it’s redeemed. Your gift card account needs to reflect which kind you sell.

Records. Retention periods, e-invoicing and digital reporting rules differ between countries, so check what applies where you trade before you design the chart.

Tips, commission and chair rental

Card tips are collected by the business but belong to the team member, so they go to a liability account until they’re paid out, never to revenue. Cash tips handed straight to a stylist don’t pass through your books at all. How tips are taxed and whether social contributions apply varies from country to country, so agree the treatment with your accountant once and document it.

Chair rental and commission are different transactions. With chair rental, a self-employed stylist pays you to use a chair and the facilities: that’s rental income for you. With commission, the stylist works under your business and you pay them a share of the service price: that’s a cost of sales. Because the VAT and employment treatment of each arrangement differs between countries, give each its own account and keep the contracts that support it.

Common mistakes and how to maintain your chart

The two failure modes are opposite ends of the same problem: too few accounts and you can’t see what’s happening in your business, too many and nobody posts to them consistently. Both make your numbers unreliable at exactly the moment you need them, usually at tax time.

Mixing personal and business transactions is the other classic error, and it makes reconciliation a nightmare even for a small salon with one bank account. Set a quarterly habit of reviewing your chart: close accounts nobody has posted to in a year, standardise naming so “retail” and “products” aren’t two different accounts, and check that new services or suppliers have a home before the next invoice arrives.

How Altegio keeps the numbers clean

Mapping a chart of accounts is far easier when the system recording your sales already knows the difference between a service, a retail product and a gift card. In Altegio:

Payments for appointments and product sales are recorded automatically, each under a payment item from Finance > Income and Expenses, a directory you can extend to match your chart of accounts.

Consumables are written off from stock automatically through bills of materials linked to services, and the Sales by Services report shows consumables cost, payroll and profit for every service. Our article on Altegio inventory management covers the set-up.

Acquiring fees are written off automatically and taken into account in payroll the way you set it up.

The P&L report and the financial report for a period show income and expenses by item, and financial transactions can be exported to Excel for your accountant. See statistics and analytics for the reports.

Altegio isn’t accounting or tax-filing software: your accountant still prepares your statutory accounts and VAT returns. What changes is that the figures they start from are complete and already sorted.

The quickest way to see this on your own numbers is a 7-day free trial: set your card fees in Payment methods and fees, take a few test payments and open the P&L report.

FAQ

What is the definition of a chart of accounts in accounting?

A chart of accounts is a structured list of every account a business uses to record transactions, grouped into assets, liabilities, equity, income and expenses. Each transaction is posted to one of these accounts, and financial statements such as the profit and loss are built from their totals.

Can you give me some examples of expense accounts for a salon?

Typical salon expense accounts include payroll and employer contributions, commission, rent and utilities, cost of goods sold for retail stock, consumables used in services, card acquiring fees, software subscriptions, marketing and insurance.

Should card payments be recorded gross or net of fees?

Gross. Record the full amount the client paid as revenue, post the acquiring fee to its own expense account, and reconcile the payout from your provider against both. Recording only the net payout understates revenue and VAT and hides what card payments cost you.

How does Altegio handle card fees in payroll?

You set acquiring fees per payment method or per card brand, and Altegio writes them off automatically with every card payment. In the payroll settings you then choose who covers the fee – the specialist, the assistants, the business or a split between them – so commission is calculated from the amount the business actually keeps.

Read next

Protect your most expensive slots: payment policies, card guarantee and Adyen

Pay system in a salon: fixed salary, commission, or a mixed model

Gift card management: issue, track and report across locations

A beauty salon business plan: a template with numbers

This article is general information, not tax or accounting advice.
