Below is a process that takes one evening and one trial week: a requirements list built from your own operation, price lists recalculated to your bookings, and a checklist that exposes a system&#8217;s weak spots before you trust it with your clients<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">In short<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n\n<li><strong>Choose by your operation, not by rankings:<\/strong> ten questions about your salon turn a feature list into a requirements list and cross out half the market in one evening<\/li>\n\n\n<li><strong>Recalculate every price list to your bookings:<\/strong> a salon with 200 bookings a month exhausts a free plan&#8217;s limit in a few days, and SMS reminders are often paid separately with credits<\/li>\n\n\n<li><strong>Three marketplace commissions cost more than a month of subscription:<\/strong> up to 40% of a \u20ac30 visit is \u20ac12 per visit, while your own booking channel pays no commission<\/li>\n\n\n<li><strong>Client data is yours only if it can be exported:<\/strong> verify the export to a spreadsheet and get a clear answer on what happens to the database after the subscription ends<\/li>\n\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">An ordering system or a booking system: for a salon it is the same thing<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The term &#8220;ordering system&#8221; is used to sell all sorts of things: food-ordering systems to restaurants, order management to e-shops, and public offices use it for their counter queues. If you run a salon, you are looking for what is usually called a booking system: an online calendar where clients book themselves and which takes care of times, reminders and payments.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The words differ, the job is the same. That is why this text uses both terms interchangeably and compares booking systems by what they do for a salon, not by the category name.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Why a salon needs such a system at all, we counted in <a href=\"https:\/\/alteg.io\/en\/blog\/why-salon-needs-booking-system\/\">five numbers<\/a>: roughly a third of bookings are made while you are closed, and one no-show a day costs about \u20ac600 a month. This text covers the next step: how to pick your system out of the dozens on the market<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Write your requirements before you open a single price list<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The most common mistake: opening three vendor websites and comparing who has the longer feature list. A feature list says nothing about which features your salon will actually use. Turn it around: first answer ten questions about your own operation, only then look at the price lists.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n\n<li>How many chairs and how many people will be in the calendar, now and in a year?<\/li>\n\n\n<li>Does the team work fixed shifts or a floating schedule?<\/li>\n\n\n<li>Where do clients come from: Instagram, Google, referrals, walk-ins?<\/li>\n\n\n<li>How many bookings a month do you have, and how many are made in the evening after closing?<\/li>\n\n\n<li>Do no-shows hurt you, and do you want to take deposits?<\/li>\n\n\n<li>Do you sell vouchers or memberships?<\/li>\n\n\n<li>Do you need to track stock and a till, or just the calendar?<\/li>\n\n\n<li>Who will work with the system, and what rights should the receptionist have?<\/li>\n\n\n<li>Is one language enough, or do you serve clients in several?<\/li>\n\n\n<li>How much can the budget carry monthly, including SMS and possible commissions?<\/li>\n\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">The result is your personal requirements list. Systems that fail three or more lines get crossed out right away: it does not matter how high they rank. For every candidate, do not verify the website&#8217;s promises: verify these eight things directly in the demo:<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table class=\"has-fixed-layout\"><thead><tr><th>Requirement<\/th><th>What to verify in the demo<\/th><\/tr><\/thead><tbody>\n<tr><td>Calendar and shifts<\/td><td>Create, move and cancel a booking in three clicks; two specialists&#8217; schedules side by side; floating shifts<\/td><\/tr>\n<tr><td>Client profile<\/td><td>Visit history, notes (colour, allergies), categories like VIP or new client<\/td><\/tr>\n<tr><td>Reminders<\/td><td>Automatic, with configurable send time; email, SMS, possibly messengers; what each costs<\/td><\/tr>\n<tr><td>Deposits and payments<\/td><td>Required or optional deposit, percentage or fixed; what happens on a late cancellation<\/td><\/tr>\n<tr><td>Booking channels<\/td><td>A link for the website, an Instagram button, booking straight from the Google profile, no redirects elsewhere<\/td><\/tr>\n<tr><td>Reports<\/td><td>Occupancy, revenue, returning clients and no-shows in one place, not in an export for the accountant<\/td><\/tr>\n<tr><td>Roles and rights<\/td><td>The receptionist sees the calendar but not the revenue; a specialist sees only their own bookings<\/td><\/tr>\n<tr><td>Language and support<\/td><td>An interface your clients understand; support that answers within hours, not days<\/td><\/tr>\n<\/tbody><\/table><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">One criterion before the table: the system must run online, in the browser and on the phone. An install on the salon&#8217;s single computer means nobody sees the evening booking made from the couch, and the data backup is your problem. An online booking system keeps the calendar in the cloud: you open it from your phone, the client from Instagram, the receptionist from the front desk<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">What a booking system costs: the anatomy of a price list<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Booking system price lists are built from four blocks, and they can only be compared after you break them down:<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>The flat fee.<\/strong> A monthly payment per salon or per user. Watch the word &#8220;from&#8221;: the advertised price usually belongs to the smallest package with the tightest limits. Altegio has a <a href=\"https:\/\/alteg.io\/en\/info\/pricing\/\">flat fee of \u20ac29.99 a month<\/a> for a small team, cheaper on longer plans.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Booking limits.<\/strong> Free plans have a ceiling: <a href=\"https:\/\/www.reservio.com\/pricing\">Reservio Free<\/a>, for example, allows 40 bookings per 30 days and 100 clients in the database. A salon with 200 bookings a month exhausts such a limit in a few days of operation: free plans are for trying out, not for running. Where exactly their limits are, we will break down in a separate text.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>SMS credits.<\/strong> Email reminders tend to be included, SMS are often bought as credit bundles on top of the subscription. At 60 SMS reminders a month this is a line that is not visible in the price list at first glance.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Commission per visit.<\/strong> A marketplace does not charge a flat fee but takes a share of an acquired visit: at category level up to 40%. On a \u20ac30 visit that is \u20ac12: three &#8220;acquired&#8221; clients a month cost more than a whole monthly subscription for your own channel, which pays no commission.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A practical recalculation for a salon with two chairs and 200 bookings a month: free plans are not enough, the flat fee is roughly the price of one visit per month, plus SMS credits by the number of reminders. Compare that with the hour of admin a day that <a href=\"https:\/\/alteg.io\/en\/blog\/time-management-in-a-salon\/\">managing the calendar by hand swallows<\/a>. Yet it is the exit terms that decide whether in two years you can change systems without losing clients.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n\n<li><strong>Data export.<\/strong> The client database must be downloadable to a spreadsheet at any time: names, phones, emails, visit history. If the export is missing or &#8220;on request via support&#8221;, the data is not yours<\/li>\n\n\n<li><strong>End of subscription.<\/strong> Ask in writing: what happens to the data when I stop paying? A serious answer is &#8220;read-only mode and a period to export&#8221;, not &#8220;the account gets deleted&#8221;<\/li>\n\n\n<li><strong>Bookings through someone else&#8217;s profile.<\/strong> A client who booked through a marketplace stays in the platform&#8217;s database: next time the algorithm may well offer her the salon one street over. Your own channel builds your database, someone else&#8217;s builds someone else&#8217;s<\/li>\n\n\n<li><strong>The processor agreement.<\/strong> The system processes your clients&#8217; personal data on your behalf: under Art. 28 GDPR there must be a contract for that. A serious vendor has it ready for signature, not &#8220;on request&#8221;<\/li>\n\n\n<li><strong>Mandatory add-ons.<\/strong> Reminders, online payments or reports as a paid module can double the flat fee from the price list<\/li>\n\n\n<li><strong>The commitment.<\/strong> An annual contract at a promo price pays off after a trial run, not instead of one<\/li>\n\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">The 7-day test: a trial checklist<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">A trial is not for looking around, it is for work. Set the system up on your own data and in a week you will know more than from ten reviews:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n\n<li>Create three real services with price and duration, including the two-hour one<\/li>\n\n\n<li>Set up two specialists&#8217; schedules with shifts exactly as you really have them<\/li>\n\n\n<li>Book yourself in from your phone as a client: how many clicks is it?<\/li>\n\n\n<li>Move and cancel a booking, try to create a collision<\/li>\n\n\n<li>Set a reminder and have it sent to your own number<\/li>\n\n\n<li>Request a deposit on a dummy booking and go through the payment<\/li>\n\n\n<li>Put the booking link into your Instagram bio<\/li>\n\n\n<li>Find the occupancy and revenue report for the week<\/li>\n\n\n<li>Import twenty clients from a spreadsheet<\/li>\n\n\n<li>Write to support in your language and measure how fast and how well they answer<\/li>\n\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">What squeaks in the trial week will squeak every day. And if the system cannot do one of the actions at all, go back to the requirements list: maybe it does not matter, but that is for your list to decide, not the salesperson<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Migrating from a paper diary or an old system<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Migration is not a month-long project: it is one afternoon of setup and two weeks of running in parallel.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Data first: export the clients from the old system; from a paper diary, copy at least names, phones and usual services into a spreadsheet. You tried importing twenty clients in the trial, importing three hundred is the same work.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Then run both calendars in parallel for two weeks: new bookings go into the new system, old ones finish in the diary. Meanwhile switch the links where clients actually click: the Instagram bio, the website button, the booking link in the Google profile. Send regular clients one message with the new link and a sentence on why booking just got simpler.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Keep the diary as a backup for another month. Recalculate the price list to your number of bookings and add commissions if part of your bookings comes through a marketplace<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Does a salon need a website to have online booking?<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">No. The booking link works in the Instagram bio and directly in the Google profile, so clients book where they found you. A website is one more channel, not a precondition: plenty of salons start with just Instagram and a Google listing<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>How long does switching to a new system take?<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Plan for one afternoon to set up services, the schedule and the client import, and two weeks of running both calendars in parallel. The longest part is not the technology but the habit: that is why the links are switched right away and regular clients get a message with the new link<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>What about clients who only book by phone?<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The phone stays. The receptionist or the specialist enters the booking into the same calendar, the system guards against collisions and sends a reminder to the phone client too.
