Every month brings two sets of books, two payrolls under national rules and four royalty statements to check. No single program covers all of it on a small group’s budget, and you don’t need one. A setup that works has three layers: an accounting file for each company, a reporting layer that reads those files together, and one operational record per salon that feeds both. A single system for the whole group pays off once you own most of what you consolidate.

QuickBooks Online, Xero and Exact Online keep each company’s books. Fathom builds the group report on top of them. Odoo, Microsoft Dynamics 365 Business Central and Oracle NetSuite run several companies in one system. Underneath all of them sits the operational record: in Altegio, every booking, payment, payout, stock movement and gift card of each salon.

In short

Each company keeps its own books: for two companies that is €62 a month on QuickBooks Online Essentials, or €99 on Exact Online Plus, which includes two companies

The group report is a separate layer: Fathom reads QuickBooks and Xero files together from €44 per company a month and removes sales between your own companies

One system for all companies pays off when you own them: Odoo and Business Central publish per-user prices, and only the people who keep the books need a login; NetSuite is quote-only

Franchisees keep their own books: the franchise agreement decides what you see

The operational record comes first: Altegio records takings, team pay, stock, gift cards and memberships per salon and passes them to each company’s books as an Excel file, through a no-code connector or over the REST API

Which tools did we compare, and how?

We go from one company’s books to one system for the whole group, with Fathom in between as the layer that reads separate books together. QuickBooks Online: one subscription per company

QuickBooks Online keeps the books of one company per subscription, and Intuit’s help pages say each company you create needs its own paid subscription. Three salons on two companies mean two files: company A with Salon 1 and Salon 2, company B with Salon 3. In the eurozone, QuickBooks Online is sold in Ireland and through QuickBooks Global; Intuit withdrew it from France at the end of 2023.

Strengths: every plan includes access for your accountant, and the plans step up by users: 1 on Simple Start, 3 on Essentials, 5 on Plus and 25 on Advanced. Albato’s connector links QuickBooks to Altegio, so a sale recorded in a salon can become a sales receipt, an invoice or a journal entry in the right company’s books.

Best for: a salon company in Ireland, or one whose accountant already works in QuickBooks.

Not for: one set of books across several companies. Intuit’s multi-entity product, Intuit Enterprise Suite, is sold in the US, not in Europe.

Price: Simple Start €21, Essentials €31, Plus €45 and Advanced €75 a month per company, billed monthly with no contract.

2. Xero: one organisation per company, billed in dollars in Ireland

Xero keeps the books of one organisation per subscription and reports on each organisation separately. Its eurozone site is Ireland, where plans are priced in US dollars.

Strengths: two tracking categories can be active at a time, so one can list the salons of a company and the other stylists or service lines (Xero Central). Fathom and Albato both connect to Xero.

Best for: an Irish salon company whose accountant works in Xero.

Not for: an owner who wants combined figures across organisations inside Xero, or payroll in the same product: in Ireland, Xero payroll runs through third-party apps.

Price: from 1 November 2026, Starter $32, Standard $54 and Premium $82 a month per organisation, with multiple currencies only on Premium. The same date ends Xero’s multi-organisation discount, which a group with several companies will feel first.

3. Exact Online: Benelux books with two companies included

Exact Online sells its accounting packages in the Netherlands and Belgium, with VAT and EU sales listings built in. From the Plus plan, the books of two companies, which Exact calls administrations, come in one subscription.

Strengths: Plus includes two users, two companies and five bank connections. Premium adds multi-company support, so several companies are run from one environment, and Exact’s separate consolidation product, built on LucaNet, produces group figures with intercompany eliminations.

Best for: a salon group with companies in the Netherlands or Belgium.

Not for: a group with companies outside the Benelux, or one that wants Fathom on top: Fathom has no Exact connector and reads it only from an Excel import.

Price: Essentials €49 (one company), Plus €99, Professional €159 and Premium from €299 a month, excluding VAT. Consolidation is quoted separately.

4. Fathom: one report across separate books

Fathom builds the group report from the files your companies already keep. It connects to Xero, QuickBooks Online, Sage Business Cloud Accounting, FreeAgent and MYOB, and imports any other system from Excel or Google Sheets, so no company has to change its accounting program.

Strengths: multi-currency consolidation with intercompany eliminations, consolidated groups at no extra charge, a 14-day trial and monthly billing with no contract.

Best for: a franchisor, or an owner of two or more companies on QuickBooks or Xero.

Not for: owners who need an accounting program, since Fathom only reports, or a group with part-owned salons: Fathom doesn’t natively support partial ownership or minority interests.

Price: in euros, excluding taxes: Starter €44 per company; Silver €250 with 10 companies included, then €25 each; Gold €375 for 25, then €16 each; Platinum €645 for 50, then €13 each; Enterprise from 51 companies on request.

5. Odoo: several companies in one database

Odoo runs the accounting of several companies in one database. With inter-company rules, an invoice that company A confirms to company B creates the matching bill in company B automatically. Odoo publishes accounting localisations for many EU countries, including Austria, Belgium, Croatia, France, Germany, Italy, the Netherlands, Poland and Spain.

Strengths: public per-user prices. Stylists and receptionists work in the salon platform, so only the people who keep the books need an Odoo user.

Best for: a group whose companies sit in countries Odoo localises, with a partner or an in-house person to set it up.

Not for: an owner who wants each company to stay on its accountant’s program. Microsoft Dynamics 365 Business Central: several companies, consolidated through a partner

Business Central includes multiple companies on every plan and consolidates them, including companies you own only in part and companies in other currencies. Microsoft localises it for Austria, Belgium, Czechia, Denmark, Finland, France, Germany, Italy, the Netherlands, Spain and Sweden, and partners cover Ireland, Poland, Portugal and most other EU countries.

Strengths: consolidation by ownership percentage, so a salon you own together with a managing partner still appears in group figures at your share. Team Members licences cost €6.90 for people who only view or approve.

Best for: a group of several companies, some of them part-owned, with a finance person and an implementation partner.

Not for: a group that wants intercompany eliminations done for it: Microsoft says processing them is a manual process. Business Central is also bought through a partner, who usually implements it.

Price: Essentials €69.30 and Premium €95.30 per user a month, paid yearly, excluding VAT; Team Members €6.90. There is a 30-day free trial.

7. Oracle NetSuite OneWorld: one system with inventory, built for wholly owned groups

NetSuite keeps accounting, inventory and group reporting in one system, with consolidation in its OneWorld edition and local sites in Germany, France, Spain, Italy and the Netherlands.

Strengths: stock sits in the same system as the books, and at period close NetSuite generates the intercompany elimination entries automatically.

Best for: a franchisor whose own salons are wholly owned subsidiaries and who wants inventory in the same system.

Not for: small chains, part-owned salons and franchisees’ books. Oracle says OneWorld gives the most value when the parent owns 100% of all subsidiaries, and that “affiliates, franchisees, joint ventures, and similar shared-ownership entities require more specialized accounting treatment” (Oracle).

Price: an annual licence by core platform, optional modules and users, plus a one-time implementation fee; no public price. Sage Intacct, sold in Ireland, France and Germany, is the comparable quote-only option; Sage puts a typical implementation in France at 20 to 40 days.

What does Altegio record, and what goes to the accountant?

Altegio holds the operational record of every salon: each visit, payment, payout, stock movement and gift card is recorded per location when it happens, along with who recorded it. The accounting program turns that record into each company’s books, VAT returns and annual accounts, and that is where taxes are calculated and filed.

Item

In Altegio

In the accounting program

Takings

Recorded at checkout by payment method and cash register; card acquiring fees written off automatically

Revenue and output VAT of the company that owns the salon

Team pay

Calculated per team member from their pay rule: a percentage of services or products, a fixed daily or monthly rate, a guaranteed minimum, rates with and without an assistant

Gross-to-net pay, income tax and social contributions under national rules

Chair rent

Recorded as income under your own income item, next to the takings

Income of the company

Retail and back-bar stock

One inventory for retail products and consumables; consumables written off per service by a bill of materials

Stock valuation and VAT on retail sales

Gift cards and memberships

Valid across the chain or at chosen locations; the gift card report filters by where each card was sold and where it was used

When VAT is due, the liability until redemption, the settlement between your companies

Altegio’s finance module gives each location a P&L by month, a financial report for any period and a list of every transaction. Payroll gives the gross figure per person and period, and the inventory shows what each service used.

How do gift cards and memberships work across two companies?

A gift card sold in Salon 1 (company A) and redeemed in Salon 3 (company B) means company A took the money for a service company B delivers. The EU voucher rules (Directive 2016/1065) sort cards into two kinds. A single-purpose voucher is one where the place of supply and the VAT due are known at sale, such as a card for treatments taxed at one rate in one country: VAT is charged when it is sold, and each transfer between your companies counts as a supply. Every other card is a multi-purpose voucher, for example one that pays for both treatments and retail products at different rates, and VAT is due only when it is redeemed. What happens to cards that expire unused is left to each country.

Agree with your accountant which kind your cards are and how company A pays company B each month. When gift cards work across locations, Altegio’s gift card report filters by sale location and use location: set it to the month, export to Excel, and the settlement has its base figure. Prepaid memberships bought in one salon and used in another need the same agreement. For a spa group that sells many vouchers and treatment packages, this is the line in the books that grows fastest.

What changes for payroll, tips and chair renters?

Payroll runs under each country’s tax and social security rules, usually through a local payroll provider or the accountant. What they need from the salon is a gross figure per person and period, and Altegio calculates it from each team member’s pay rule, whatever mix of commission and fixed pay your salons use.

Tips follow national rules too: in Germany, tips a customer gives an employee voluntarily are tax-free (§ 3 No. 51 EStG), while in Ireland tips paid out through the employer, card tips included, are taxed as normal pay (Revenue).

Chair rent is income of the salon company, but whether the renter is really self-employed is decided under national law, and the label on the contract doesn’t settle it. The EU Court of Justice treats a nominally self-employed person as a worker when someone else directs the time, place and content of their work (FNV Kunsten, C-413/13). If your salon sets a renter’s prices, hours or services, ask your accountant before booking their payments as rent.

Which fiscal and e-invoicing rules reach a salon group?

Two sets of national rules decide what each company’s software has to produce. The first covers sales at the counter. Germany requires a certified security device in electronic till systems (§ 146a AO), and Poland requires hairdressing and beauty services to record sales on online cash registers (KAS). In Spain, Altegio sends receipts, refunds and adjustments to VERIFACTU through its VERIFAC integration.

The second covers invoices between businesses: supplier bills, and the royalty and marketing fees a franchisor charges. The EU’s VAT in the Digital Age package (Directive 2025/516) lets every member state require domestic B2B e-invoices and makes them mandatory for cross-border B2B sales from 1 July 2030. Several countries already require them: Belgium and Croatia since 1 January 2026, and Poland’s KSeF since 1 February 2026 for the largest firms and 1 April 2026 for everyone else. Germany has required businesses to accept e-invoices since 2025 and France since 1 September 2026, with the duty to issue them phased in by company size through 2027. Each company’s accounting program has to send and receive invoices in its own country’s format, which is one more reason the books stay local while the group report sits on top.

How do salon numbers get from Altegio to each company’s books?

Through one of three routes, from no setup to fully automatic. Whichever you pick, the split by company happens first: each salon is its own location in Altegio, so company A’s books receive only Salon 1 and Salon 2, and company B’s only Salon 3. As the owner, you still see all three side by side in chain analytics, which compares revenue, average bill and occupancy by location.

Excel export, no setup. At month-end each location exports its financial transactions, where every row shows the date, who paid or was paid, what for, the payment source, the amount and who added it, along with the financial report for the period, the P&L by month and the payroll calculated for the period. The accountant posts them into that company’s books.

A no-code connector. Albato connects Altegio to QuickBooks Online, Xero, Sage Accounting, Zoho Books and Pennylane. A financial operation or product sale recorded in Altegio can become a sales receipt, an invoice or a journal entry in the right company’s books without a monthly file.

Your own integration on the REST API. For an accountant who wants a daily journal in a specific import format, for example for Exact Online or Business Central, a developer or partner builds it on Altegio’s REST API and webhooks. Access keys come from the Altegio Developer Hub, where registration is free, and the integration can serve only your own locations or be published in the Integrations Hub for other salon groups.

The same data answers questions without an export. AI assistants such as Claude or ChatGPT connect to Altegio through its MCP servers, including a read-only one, and can answer a question like how revenue changed in each salon last month.

The rules travel with the numbers. Access to finance is set per cash register and per transaction type, and payments can’t be posted into past days beyond a limit you choose, from 1 day to 6 months, or not at all, so a month your accountant has closed stays closed. View-only logins aren’t counted in the Altegio subscription, so your accountant or a finance controller can check the figures where they were recorded.

What does a group of three salons on two companies pay a month?

From €62 a month for two companies’ books on QuickBooks Online to €312 with a Fathom report that also covers four franchisees. One system for both companies costs €83.70 a month on Odoo or €207.90 on Business Central, before implementation.

The model: company A runs two salons with 16 staff, company B one salon with 8. The team works in Altegio, so in the model the accounting side needs three logins: the owner, a finance person and the external accountant. On QuickBooks, both companies take Essentials, the plan with three users. Exact Online Plus includes two companies and two users in one subscription. Odoo and Business Central are priced for three users. Payroll isn’t in the table: in most European countries it runs through a local payroll provider or the accountant, priced per payslip. The four franchisees pay for their own accounting.

Setup for two companies

Books

Group report

Total a month

QuickBooks Online Essentials

2 × €31 = €62

None

€62

QuickBooks Online Essentials + Fathom, your 2 companies

€62

2 × €44 = €88

€150

QuickBooks Online Essentials + Fathom, 2 companies + 4 franchisees

€62

Silver, 6 companies: €250

€312

Exact Online Plus, two companies included

€99

None; Fathom only through Excel

€99

Exact Online Premium, multi-company

From €299

Consolidation by quote

From €299

Odoo Custom, 3 users

3 × €27.90 = €83.70

In the same system

€83.70 + setup

Business Central Essentials, 3 users

3 × €69.30 = €207.90

In the same system

€207.90 + partner

Oracle NetSuite OneWorld

Quote

In the same system

Quote

Model group at list prices, October 2026, without VAT and promotions; QuickBooks prices from its Irish site, Exact from its Belgian and Dutch sites; substitute your own number of companies and logins

For scale, set the stack against a cost line many salon groups don’t file under software: marketplace commission. A marketplace that charges up to 40% per booking takes €20 of a €50 visit. At 100 marketplace bookings a month across three salons, that is €1,000 at a 20% rate and €2,000 at 40%, more than any setup in the table with a public price. Bookings through your own channels, such as the booking widget on your website, social media and maps, carry no commission, and the client record stays with your company.

How do you see your franchisees’ numbers if you don’t own their books?

Only through the franchise agreement. A franchisee’s company, books and client data belong to the franchisee. Countries with franchise laws, such as France, Italy, Spain and Sweden, regulate what a franchisor must disclose before signing, not what the franchisee reports afterwards. The European Code of Ethics for Franchising asks franchisees to give the franchisor verifiable operating data and the financial statements needed for management guidance, and the reporting clause is where that becomes concrete.

The stakes are easy to put in numbers. In our beauty salon franchise model, a franchisee with €10,000 monthly revenue pays a 5% royalty and a 2% marketing fee, €700 a month. Four such franchisees mean €2,800 a month in fees calculated on revenue only they can see, unless the agreement gives you access.

For Fathom, the agreement either gives you an admin role in each franchisee’s Xero or QuickBooks file, which lets Fathom import it, or asks the franchisee to connect their company to your Fathom account. Fathom bills per connected company, so the agreement should also say who pays for each connection; in our model, you do. When franchisees run Altegio too, the reporting clause can name the report the royalty is calculated from, such as the monthly financial report, so every franchisee sends the same figures in the same format.

Either way, a group report needs totals, not clients. Each franchisee, like each of your own companies, is a separate controller of its clients’ personal data. The GDPR recognises that companies in one group may have a legitimate interest in sharing data for internal administration (Recital 48), but each transfer still has to pass that test, and franchisees aren’t part of your group in the first place.

Which setup fits your salon group?

One company with one or two salons needs only an accounting file; larger groups add a layer according to who owns the salons and who runs the finances.

Two or three owned companies with an outside accountant: each company on its accountant’s program, plus Fathom if they keep the books in QuickBooks or Xero

A franchisor checking royalty statements: Fathom for each franchisee whose file is connected, and the same Altegio report named in every franchise agreement

A group in the Netherlands or Belgium: Exact Online, Plus for two companies or Premium for several in one environment

An owned group that wants every company in one system: Odoo, or Business Central if some salons are part-owned

A larger group with stock across subsidiaries: NetSuite OneWorld or Sage Intacct, by quote

Whichever layer you choose, it reads from the same place: the salon’s own record of what was booked, paid, used and earned.

FAQ

Can one accounting subscription cover several salon companies?

Usually not. QuickBooks Online and Xero bill each company separately, and Xero drops its multi-organisation discount on 1 November 2026. Exact Online Plus includes two companies in one subscription, while Odoo and Business Central keep several companies in one system and charge per user instead.

Is VAT due when a salon sells a gift card?

It depends on the card. Under the EU voucher rules, VAT on a single-purpose voucher, where the service and its VAT rate are known at sale, is due when it is sold. A multi-purpose voucher, such as a card for treatments and retail at different rates, is taxed when redeemed. Your accountant decides which kind yours are.

Does a franchisor have the right to see a franchisee’s books?

Only if the franchise agreement grants it. The franchisee’s company, accounts and client data belong to the franchisee. The European Code of Ethics for Franchising expects franchisees to share verifiable operating data and financial statements, so write the format, the deadline and the access, such as a connected Fathom file, into the reporting clause.

Can Altegio send sales to QuickBooks or Xero automatically?

Yes, through a connector. Albato connects Altegio to QuickBooks Online, Xero, Sage Accounting, Zoho Books and Pennylane, so a sale recorded in Altegio can become a sales receipt, an invoice or a journal entry. For other programs, use the Excel export or build the link on Altegio’s REST API. Taxes are still filed from the accounting program.

Do three salons need a group system like NetSuite?

Rarely. Three salons on two companies run well on one accounting file per company plus a reporting layer such as Fathom, from €150 a month in our model. A single group system pays off when you own most of the companies outright and want stock, books and consolidation in one place.

This article is for information only and is not tax or legal advice. Prices, rates and rules change: check the vendor’s own pages and your national tax authority, and ask your accountant or lawyer about your specific situation.

<p
