You configure the policy once at the location level, and Altegio automatically applies it to every new booking that matches the scope you defined.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This is the overview article: it explains the difference between the two modes and points you to the right guide. The step-by-step configuration, the field reference, and the money flow for each mode live in the dedicated mode guides linked below.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">When to use<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Your business loses revenue when clients book and don&#8217;t show up, and you want to require a deposit upfront.<\/li>\n\n\n\n<li>You want to keep online booking friction-free, but still discourage last-minute cancellations by saving a card for later charging.<\/li>\n\n\n\n<li>You want different rules for different services, team members, or client types \u2014 for example, a deposit for premium services and no policy for cheap ones.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Before you start<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">You need:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>The <strong>Owner<\/strong> or <strong>Manager<\/strong> role, or a custom role with the right Finance permissions:<br><br>Both live under the <strong>Finance<\/strong> block in <strong>Team &gt; Team members list &gt; Access<\/strong> tab. The set of available policy options depends on which one \u2014 see the Important block below.<\/li>\n<\/ul>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p class=\"wp-block-paragraph\"><strong>Important<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Which mode you can use depends on your payment system:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Deposit<\/strong> is available with any payment system supported in your region \u2014 Stripe, VivaWallet, LiqPay, Qton, and others. The client&#8217;s payment for the service lands in that system.<\/li>\n\n\n\n<li><strong>Card guarantee<\/strong> is supported only by the <strong>Adyen<\/strong> payment system, because it relies on Adyen&#8217;s off-session card charging. With any other provider, only Deposit is available.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">To start using Card guarantee, connect Adyen first \u2014 see <strong><a href=\"https:\/\/alteg.io\/en\/support\/knowledge-base\/277822\">Adyen Integration: Setup and verification guide<\/a><\/strong>.<\/p>\n<\/blockquote>\n\n\n\n<p class=\"wp-block-paragraph\">Other roles can apply or waive fees in the visit window if granted the corresponding Booking window permissions \u2014 see <strong><a href=\"https:\/\/alteg.io\/en\/support\/knowledge-base\/4847132275229-booking-window-access-rights\">Booking window access rights<\/a><\/strong>.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">How it works<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">A payment policy has three possible modes \u2014 <strong>No payment policy<\/strong> (the default, no requirement), <strong><a href=\"https:\/\/alteg.io\/en\/support\/knowledge-base\/360426\/\">Deposit<\/a><\/strong>, and <strong><a href=\"https:\/\/alteg.io\/en\/support\/knowledge-base\/360429\/\">Card guarantee<\/a><\/strong>. When a client opens the online booking widget for a covered booking, Altegio captures a <strong>snapshot<\/strong> of the current policy and attaches it to that specific booking. The mode-specific fields (deposit amount, payment deadline, no-show and late-cancellation fees), the full per-scope walkthrough with screenshots, and everything that changes elsewhere once a policy is active are documented in the dedicated mode guides \u2014 open the one that fits your business:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong><a href=\"https:\/\/alteg.io\/en\/support\/knowledge-base\/360426\/\">Deposit<\/a><\/strong> \u2192 Deposit mode in payment policies<\/li>\n\n\n\n<li><strong><a href=\"https:\/\/alteg.io\/en\/support\/knowledge-base\/360429\/\">Card guarantee<\/a><\/strong> \u2192 Card guarantee mode in payment policies<\/li>\n<\/ul>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p class=\"wp-block-paragraph\"><strong>Note<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Switching the mode to <strong>No payment policy<\/strong> turns the policy off without deleting anything \u2014 your scope and amount settings stay saved and become active again when you switch back to <strong>Deposit<\/strong> or <strong>Card guarantee<\/strong>.<\/p>\n<\/blockquote>\n\n\n\n<h2 class=\"wp-block-heading\">What changes elsewhere after you activate a policy<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>This matters mainly if your business used the old online prepayment settings before payment policies.<\/strong> Activating a policy moves or hides several of those older controls. If you&#8217;re setting up for the first time and never used online prepayment, you can skip this section.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Service-card prepayment toggle is hidden.<\/strong> The old &#8220;Online prepayment&#8221; field in each service card no longer appears \u2014 configure coverage through the <strong>Services<\/strong> scope instead.<\/li>\n\n\n\n<li><strong>Team-member-card prepayment toggle is hidden.<\/strong> The &#8220;Online prepayment&#8221; checkbox in each team member&#8217;s Online Booking tab is hidden too \u2014 use the <strong>Team members<\/strong> scope.<\/li>\n\n\n\n<li><strong>Online-widget reschedule and cancel toggles are hidden.<\/strong> The settings <strong>Allow clients to reschedule prepaid bookings online<\/strong> and <strong>Allow clients to cancel prepaid bookings online<\/strong> (in <strong>Online booking &gt; Settings &gt; Rules for cancelling and rescheduling<\/strong>) are hidden while a policy is active. With a policy on, clients can always reschedule and cancel online \u2014 the policy governs the financial consequences via the free cancellation window.<\/li>\n\n\n\n<li><strong>Each client gets a new personal account.<\/strong> Altegio creates a read-only &#8220;Payment Policy&#8221; personal account for every client when you save the policy \u2014 it holds deposits and records fees.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Limitations<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Free services are excluded.<\/strong> Services with a price of 0 cannot be included in any policy. They show up greyed out in the Services scope.<\/li>\n\n\n\n<li><strong>Memberships override.<\/strong> If a client books a service while an active membership covers it, the payment policy does not apply to that booking \u2014 the membership takes priority.<\/li>\n\n\n\n<li><strong>Complex (combo) services.<\/strong> A complex service made of two individual services inherits the policy of each constituent \u2014 there is no single policy editor for the combo as a whole.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Managing fees after a no-show or late cancellation<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">When a client doesn&#8217;t show up or cancels after the free cancellation window, an administrator decides in the visit window whether to charge the fee, waive it, or keep the deposit on the client&#8217;s balance.
