Altegio has no automatic merge, so the cards are combined by hand: the visits are moved to the card you keep, and only then is the extra card removed.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">When to use<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li>The same client was uploaded from Excel twice, or uploaded when a card already existed.<\/li>\n\n\n\n<li>The client booked online with their phone number in a different format.<\/li>\n\n\n\n<li>A receptionist created a new card while a card for that phone number already existed.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Before you start<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Access rights.<\/strong> Open <strong>Team &gt; Team members list<\/strong>, open the team member and switch to the <strong>Access<\/strong> tab. In the <strong>All Clients<\/strong> section the rights <strong>Remove clients<\/strong>, <strong>Edit client data in client\u2019s card<\/strong> and <strong>View client history<\/strong> are needed. In the <strong>Booking window<\/strong> section the right <strong>Access to drop-down list with client data<\/strong> is needed: without it the client search list in the appointment window does not appear.<\/li>\n\n\n\n<li><strong>Decide which card you keep.<\/strong> Keep the card that already holds the client\u2019s current phone number: then no phone number has to be freed and only the visits move. These steps move the visits only, so a loyalty card, a membership or a client account issued on the duplicate card is not transferred by them.<\/li>\n\n\n\n<li><strong>Check that it is really a duplicate.<\/strong> Two people on one phone number, for example a parent and a child, are not a duplicate. A second visitor is added to the appointment with the <strong>Client is booking for another visitor<\/strong> checkbox.<\/li>\n\n\n\n<li><strong>A chain works location by location.<\/strong> The procedure runs in one location. The <strong>Visit history<\/strong> tab also lists visits from the other locations of the chain, and the location name is shown in the day row. Those visits are not moved from this location\u2019s appointment window. The appointments stay in the Appointment Calendar and in <strong>Reports > Appointments<\/strong>, and the payments stay in <strong>Finance > Financial transactions<\/strong>, both under the name of the removed client. What breaks is the client\u2019s own totals: the appointments stop counting in anyone\u2019s visit history and statistics, and the appointment window shows <strong>Total visits 0<\/strong>. Move the visits first, then remove the card.<\/p>\n<\/blockquote>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p class=\"wp-block-paragraph\"><strong>Important<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Never remove an appointment instead of moving it. Removing a paid appointment also removes its payment from <strong>Finance > Financial transactions<\/strong> and reduces the cash register balance. Removing a client card leaves both the appointment and the payment in place.<\/p>\n<\/blockquote>\n\n\n\n<h2 class=\"wp-block-heading\">How to merge two cards<\/h2>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Go to the <strong>Administration<\/strong> mode and open <strong>Clients > Client base<\/strong> and click the name of the card you keep.\n<ul class=\"wp-block-list\">\n<li>Click the client name itself. Confirm the prompt <strong>Are you sure you want to change the client name in the \u2018All Clients\u2019 section?<\/strong>\n<ul class=\"wp-block-list\">\n<li>The temporary word is what lets you tell the two cards apart in the client search list later.<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>Return to <strong>Clients &gt; Client base<\/strong> and open the duplicate card.<\/li>\n\n\n\n<li>Switch to the <strong>Visit history<\/strong> tab and click <strong>Learn More<\/strong> next to a visit. The visit opens in a new browser tab.\n<ul class=\"wp-block-list\">\n<li>Appointments of one client on one date form a single visit. Booking confirmation is sent manually, from the <strong>Notifications<\/strong> tile of the appointment window.<\/li>\n\n\n\n<li>To undo, click <strong>Edit<\/strong> again: the <strong>Previous clients<\/strong> block holds the client the appointment had before.<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>Repeat steps 4 to 7 for every visit, then check that the <strong>Visit history<\/strong> tab of the duplicate card is empty.<\/li>\n\n\n\n<li>Only if the card you keep has to take over the duplicate\u2019s phone number: open the duplicate card, enter another phone number of the same client in the <strong>Phone<\/strong> field and click <strong>Save<\/strong>.\n<ul class=\"wp-block-list\">\n<li>The phone number is mandatory and has to be unique, so it has to be freed before the other card can take it. An empty field returns <strong>Enter the client\u2019s phone number<\/strong>, and a number that already belongs to another card returns <strong>A client with this phone number already exists in your database<\/strong>. Both checks run on save, not while you type.<\/li>\n\n\n\n<li>Use another number that belongs to the same client, never an invented one. A removed card stays tied to its last phone number, and a client created later with that number receives the removed card together with its history.<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>Click <strong>Delete<\/strong> and confirm the prompt <strong>Confirm the deletion request<\/strong>.\n<ul class=\"wp-block-list\">\n<li>The word DELETE is not required here. It is asked for only when clients are removed in bulk from <strong>Clients &gt; Client base<\/strong>.<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>Open the card you kept, remove the temporary word from the <strong>Name<\/strong> field and click <strong>Save<\/strong>.<\/li>\n<\/ol>\n\n\n\n<h2 class=\"wp-block-heading\">Result<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li>The full visit history and the client totals are on one card. Check them on the <strong>Visit history<\/strong> and <strong>Statistics<\/strong> tabs of the card you kept.<\/li>\n\n\n\n<li>The change is recorded in two places. The <strong>History<\/strong> tile of the appointment window shows the previous and the new client of the appointment, and <strong>Reports &gt; All reports &gt; Security &gt; Data changes<\/strong> records the same change. Removal of a client card is not recorded there.<\/li>\n\n\n\n<li>Revenue is not affected.
