member is billable depends on <strong>their access rights<\/strong>, not on the <strong>role name<\/strong>.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Billable rights<\/h3>\n\n\n\n<p>Billable rights include <strong>any actions that change data in the system<\/strong>, such as:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>create<\/li>\n\n\n\n<li>edit<\/li>\n\n\n\n<li>delete<\/li>\n\n\n\n<li>modify<\/li>\n<\/ul>\n\n\n\n<p>If a team member has <strong>at least one<\/strong> of these rights anywhere in the system, they are considered <strong>billable<\/strong>.<\/p>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p>A team member who provides services but does not have system access permissions is considered <strong>paid<\/strong>.<\/p>\n<\/blockquote>\n\n\n\n<h3 class=\"wp-block-heading\">Non-billable rights<\/h3>\n\n\n\n<p>Non-billable rights are <strong>view\/read-only<\/strong> access (with <strong>no ability<\/strong> to make changes).<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Two new non-billable access levels<\/h2>\n\n\n\n<p>Two new non-billable access levels have been added to help businesses set up their teams more flexibly:<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">1) Viewer \u2014 safe read-only access<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li>view\/read rights only<\/li>\n\n\n\n<li>no rights to edit\/create\/delete<\/li>\n\n\n\n<li>no schedule (the team member does not participate in scheduling)<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">2) System Manager \u2014 team and subscription management<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li>full view rights<\/li>\n\n\n\n<li>can manage team (create\/edit\/invite team members)<\/li>\n\n\n\n<li>access to subscription payment \/ billing<\/li>\n\n\n\n<li>no schedule (the team member does not participate in scheduling)<\/li>\n<\/ul>\n\n\n\n<p>This article will help you prepare in advance for the changes, set up access correctly, and avoid unnecessary costs after switching to the new terms.<\/p>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p><strong>When the changes apply<\/strong><br><br>The changes apply <strong>only<\/strong> when you <strong>purchase a new subscription \/ switch to a new subscription<\/strong>.<\/p>\n\n\n\n<p><strong>Auto-renewal counts as purchasing a new subscription<\/strong>, so the new terms will take effect starting with the <strong>next charge<\/strong>.<\/p>\n\n\n\n<p>Your <strong>current subscription<\/strong> will continue to work under the <strong>old rules<\/strong> until you switch.<\/p>\n\n\n\n<p>Buying <strong>additional team subscriptions<\/strong> within your current subscription does <strong>not<\/strong> switch you to the new terms.<\/p>\n<\/blockquote>\n\n\n\n<h2 class=\"wp-block-heading\">Why it\u2019s important to prepare in advance<\/h2>\n\n\n\n<p>After switching to a new subscription, some companies may notice that:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>the \u201cnon-billable owner\u201d no longer remains non-billable<\/li>\n\n\n\n<li>team members who used to be considered non-billable but had edit rights become billable<\/li>\n\n\n\n<li>the billable team member limit may be exceeded<\/li>\n<\/ul>\n\n\n\n<p>To avoid this, it\u2019s important to:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>remove unnecessary editing rights<\/li>\n\n\n\n<li>move team members to non-billable roles<\/li>\n\n\n\n<li>reduce the number of owners to the real minimum<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Scenarios where billable rights are not needed (you can make the team member non-billable)<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\">1) Owner\/partner who only monitors performance<\/h3>\n\n\n\n<p><strong>Situation:<\/strong> views reports, finances, analytics, but does not make changes.<br><strong>Best fit:<\/strong> <strong>View-only<\/strong><\/p>\n\n\n\n<h3 class=\"wp-block-heading\">2) Analyst \/ marketer who only needs to view data<\/h3>\n\n\n\n<p><strong>Situation:<\/strong> analyzes reports, monitors metrics, but doesn\u2019t change appointments.<br><strong>Best fit:<\/strong> <strong>System Manager<\/strong><\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Scenarios where a team member needs billable rights<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\">1) Professional\/provider who is booked by clients<\/h3>\n\n\n\n<p><strong>Situation:<\/strong> the team member is on the schedule and clients can book them.<br>Even with minimal rights, <strong>being in the schedule makes them billable<\/strong>.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">2) Owner who also provides services<\/h3>\n\n\n\n<p><strong>Situation:<\/strong> the team member is the company owner but also provides services and is on the schedule (clients book them).<br>Access will be <strong>billable<\/strong> because they participate in scheduling.<\/p>\n\n\n\n<p><strong>If a team member is on the schedule, they are billable regardless of rights set or role chosen.<\/strong><\/p>\n\n\n\n<h3 class=\"wp-block-heading\">3) Front desk receptionist<\/h3>\n\n\n\n<p><strong>Situation:<\/strong> creates\/reschedules\/cancels appointments, edits services\/visits, sells products, updates service pricing.<br>This team member has billable rights (create\/edit) and will count toward the subscription.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">4) Inventory manager<\/h3>\n\n\n\n<p><strong>Situation:<\/strong> writes off stock, processes sales, changes balances, edits items.<br>They have editing rights in Inventory, so they are billable.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">5) Salon manager with rights to edit module settings<\/h3>\n\n\n\n<p><strong>Situation:<\/strong> changes system settings, edits team member schedules, processes supplier transactions, etc.<br>They are billable because they can make changes in system settings.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">How to change a role and edit access rights<\/h2>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Go to <strong>Settings &gt;
