This includes appointments from any source, created by any user with the right to create an appointment, with any status, including <strong>deleted ones<\/strong>.<\/p>\n\n\n\n<figure filters:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Creation date<\/li>\n\n\n\n<li>Visit date<\/li>\n\n\n\n<li>Team members<\/li>\n\n\n\n<li>Cancelled &amp; non-cancelled \/ only cancelled \/ only non-cancelled appointments<\/li>\n\n\n\n<li>Visit statuses<\/li>\n\n\n\n<li>Client name\/phone number<\/li>\n\n\n\n<li>Service category<\/li>\n\n\n\n<li>Appointment category<\/li>\n\n\n\n<li>All sources \/ online \/ offline (method of creation)<\/li>\n\n\n\n<li>All payment statuses \/ fully paid \/ not fully paid<\/li>\n\n\n\n<li>With or without services \/ with services \/ without services appointments<\/li>\n<\/ul>\n\n\n\n<p>Apply the necessary filters and click the <strong>\u201cShow\u201d<\/strong> button. You can also search for appointments by a specific client by entering their name or phone number and clicking <strong>\u201cShow.\u201d<\/strong> Each appointment can be <strong>edited and\/or deleted.<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>To edit appointment click the<em> Edit<\/em> (pencil) button. Afterwards the visit will be opened in the <strong>Appointment Calendar<\/strong>, where you can make some changes.&nbsp;<\/li>\n<\/ul>\n\n\n\n<p>Appointments can be deleted one by one or in bulk. For deleting check the required appointments (1), the <strong>Delete selected <\/strong>button will be active (2), click it. The appointments will be deleted from the appointment calendar, and <strong>the row with the appointment data will change color to red<\/strong> (3). The user receives an email with a download link. Afterward, in <strong>Analytical<\/strong> <strong>Reports > Data Changes<\/strong> a log will show who exported what data and when. If the user has access rights, they can also retrieve the file there.<\/p>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p><strong>Important<\/strong><\/p>\n\n\n\n<p>Limit per export from Analytical Reports> Appointments is <strong>5,000 records<\/strong>.<br>Export file links from other users (employees with access) are hidden. Each user sees only their own downloads, regardless of their role or rights.<\/p>\n<\/blockquote>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Import from Excel<\/strong><\/h3>\n\n\n\n<p>Imported appointments will appear both in <strong>Analytical<\/strong> <strong>Reports > Appointments<\/strong> and the <strong>Appointment Calendar<\/strong>.<\/p>\n\n\n\n<p><strong>To import appointments from Excel, ensure the following:<\/strong><\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>User has full access rights to Altegio<\/li>\n\n\n\n<li>All services must be preloaded to the branch and not being edited during upload<\/li>\n\n\n\n<li>If the file includes sold product names, they must exist in the services section<\/li>\n\n\n\n<li>All staff must already be added to the branch (active or dismissed)<\/li>\n\n\n\n<li>Disable all notifications in <strong>Settings > Notifications > Notification Types<\/strong> and disable <strong>WebHooks<\/strong> if used for integrations<\/li>\n\n\n\n<li>Set in <strong>Settings > Digital Schedule > Digital Schedule Settings<\/strong> the \u201cAppointment preferences\u201d to <strong>\u201cTreat each booking as a separate visit\u201d<\/strong><\/li>\n\n\n\n<li>No need to create team work schedules or link services to team<\/li>\n\n\n\n<li>Only one file can be uploaded at a time<\/li>\n\n\n\n<li>File must contain <strong>no more than 5,000 rows<\/strong>. Split if needed<\/li>\n\n\n\n<li>Upload starts from the <strong>second row<\/strong> (first row is ignored)<\/li>\n\n\n\n<li>Go to <strong>Analytical Reports > Appointments<\/strong>, click <strong>\u201cExcel actions\u201d<\/strong>, then select <strong>\u201cImport from Excel\u201d<\/strong><\/li>\n\n\n\n<li>Choose the file from your computer or drag &amp; drop. After upload, click <strong>\u201cUpload\u201d<\/strong> (this won\u2019t start the import yet)<\/li>\n\n\n\n<li>A <strong>mapping menu<\/strong> will appear. Match each column to the correct data type. Then click <strong>\u201cSave\u201d<\/strong> (this starts the import)<\/li>\n<\/ol>\n\n\n\n<p>If clicking <strong>\u201cSave\u201d<\/strong> does not begin the upload, <strong>don\u2019t click again.<\/strong> Contact technical support.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Excel File Requirements<\/strong><\/h2>\n\n\n\n<p>The file must contain:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li><strong>Date<\/strong> (format: 04.01.2022 10:30)<br>Time will be rounded based on Altegio\u2019s step settings<\/li>\n\n\n\n<li><strong>Team member ID<\/strong> \u2014<a href=\"https:\/\/alteg.io\/support\/support\/en\/knowledge-base\/4905024587805-how-to-find-out-the-employee-number-id-in-altegio\/\"> <em>How to find staff ID in Altegio<\/em><\/a><\/li>\n\n\n\n<li><strong>Client phone number<\/strong> \u2014 format: 37493350369<\/li>\n\n\n\n<li><strong>Client name<\/strong> \u2014 required. If left blank, it will be overwritten by the phone number in the database<\/li>\n\n\n\n<li><strong>Team member name<\/strong> \u2014 must match the name in <strong>Team<\/strong> > <strong>Team member list<\/strong><\/li>\n\n\n\n<li><strong>Duration<\/strong> \u2014 in seconds, multiple of 15 minutes.
