But if you run your appointments in Altegio, start with one honest fact. At the time of writing, Zapier’s app directory has no ready-made Altegio app, so you won’t find Altegio triggers in Zapier’s app picker. What Altegio does have is webhooks and an open API, which a Zapier webhook step or a developer can work with. And many of the jobs salons build Zaps for, such as reminders, follow-ups and stock write-offs, are already built into Altegio.

TL;DR:

There is no native Altegio app in Zapier. Altegio sends webhooks when appointments, clients, services, products, team members or financial and inventory operations change, and Zapier can catch them with Webhooks by Zapier, a premium app available on paid plans.

Check what Altegio already does before you build a Zap: automatic reminders, feedback requests, repeat-visit invitations, consumable write-offs and payroll need no extra tool.

Under the GDPR, the salon is the controller. Zapier’s own paperwork doesn’t make your automations lawful: you decide which data moves, where it is kept and for how long.

Move only the fields each automation needs, agree processor terms with every tool that handles client data, and keep a simple map of your data flows.

Start with one automation, test it with a dummy appointment and review it before you add the next.

How Zapier works for appointment businesses

Think of Zapier as the plumbing between apps that were never built to talk to each other. Your booking system doesn’t know your newsletter tool exists. Zapier bridges that gap with two building blocks: triggers and actions.

A trigger is something that happens in one app. An action is what happens next, automatically, in another app. A new client appears in one system? That’s a trigger. Add them to a list in another? That’s the action. Put the two together and you have a Zap, which is Zapier’s word for a working automation.

Zaps come in different shapes:

Two-step Zaps link one trigger to one action, such as new client added, row added to a spreadsheet.

Multi-step Zaps chain several actions off a single trigger, useful when one event needs to update several tools at once.

Filters stop a Zap unless certain conditions are met, so existing clients don’t receive new-client offers.

Delays hold an action back, for example until the day after an event.

Webhooks connect apps that have no ready-made Zapier app, using raw event data instead of a pre-built connector.

The plan matters more than most owners expect. Zapier’s free plan includes two-step Zaps and 100 tasks a month, while multi-step Zaps, premium apps and webhooks come with paid plans. Plans and limits change, so check Zapier’s pricing page before you design anything elaborate.

Does Altegio connect to Zapier?

Not through a ready-made app. Zapier’s directory has no Altegio listing, and the Altegio help centre has no Zapier guide. There are four routes you can use instead.

Webhooks. Altegio can send a notification to an address you specify when something is created, edited or deleted: appointments in the calendar, clients, team members, services and service categories, products, inventory and financial operations, and location settings. Each notification is a POST request with the event type and a link to the changed object. Webhook settings are in Settings > Integrations and access > Webhooks, and you choose which events are sent (see WebHook configuration). On the Zapier side, Webhooks by Zapier gives you an address to catch these events. It is a premium app, so you need a paid Zapier plan. Because the notification carries a link rather than every detail, a developer may need the API to fetch the full record.

Open API. For your own scripts and integrations, access keys are issued in the Altegio Developer Hub. Registration is free and you don’t need to contact support. Requests are signed with two keys: the access key of your developer account and a user key, which decides on whose behalf the integration works with the data (see Integrations and access: API keys, webhooks and AI assistants). A developer can use the API to build a private connector on Zapier’s developer platform, but that is a development project, not a click-through setup.

Integrations Hub. Many connections salons reach for Zapier to make already exist as ready-made integrations: SMS providers and chat-bots for messengers in Integrations > Notifications, Reserve with Google in Integrations > Client acquisition > Google Maps, and the Book now button for Instagram and Facebook.

Tracking and AI assistants. Google Analytics 4, Google Tag Manager and Meta Pixel connect directly to the Altegio booking form, which reports a
booked
event, so you don’t need a Zap to count online appointments in your analytics. AI assistants such as Claude or ChatGPT connect through Altegio MCP servers without an access key, and there is a read-only server when the assistant only needs to look at data.

The same logic applies to other automation tools: anything that can receive a webhook or call an API can work with Altegio, but you won’t find a ready-made Altegio app to click through.

Salon automations: what’s built in and what needs Zapier

Before you build anything, check whether Altegio already does the job. A built-in feature means one less tool holding client data and one less automation to maintain.

Appointment reminders: built in. Altegio sends automatic notifications when an appointment is created or changed, plus a reminder up to 24 hours before the visit. The email channel is free; SMS and messenger notifications go through a connected provider. Our guide on reducing no-shows covers reminders and deposits in more detail.

Follow-up after a visit: built in. When an appointment is marked Arrived, Altegio can send a feedback request. A repeat-visit invitation goes out after an interval you set for each service, and there are birthday messages and invitations after a no-show or cancellation.

New clients into a marketing tool: a Zap candidate. A client webhook can copy new clients into an email-marketing tool. Two things to know first. The Altegio booking form asks for consent to personal-data processing, not for marketing consent, so you need a separate, valid basis under your national rules before anyone lands on a newsletter list. And an opt-out recorded in Altegio is set by hand in the client card, so make sure it reaches the other tool too. Altegio has no bulk email of its own; if you only send occasional newsletters, exporting the client list to Excel for your email service may be simpler than a live Zap.

Win-back of lapsed clients: no Zap needed. Webhooks fire only when something changes, so “hasn’t visited in 90 days” is not an event Zapier can catch from Altegio. Use the Lost filter in the client base instead, where you set the period yourself, and reach those clients with bulk messaging by SMS, messengers or push notifications in your branded app. Bulk messaging is enabled by Support.

Payments, retail and stock: mostly built in. Altegio records income and expenses, writes off the acquiring fee automatically and has a P&L and a daily financial report (Finances and accounting). Inventory control writes off consumables through bills of materials linked to services and supports stock audits. There is no sync with accounting software, so if your accountant wants entries in their system, export financial transactions to Excel or have a developer build on the financial-operations webhooks.

Team pay and commission: built in. Pay is calculated in Altegio (Calculation of salaries), so there is no need to copy completed appointments into a payroll spreadsheet.

Pro Tip: Start with one automation, run it for a fortnight and check the output before you add a second. Stacked automations built too fast are the ones that quietly break without anyone noticing for weeks.

GDPR and privacy: what the salon must do when automating

This is the part salon owners skip, and shouldn’t. Under the GDPR the salon is the controller: it decides why and how client data is processed, and Article 5(2) makes it responsible for, and able to demonstrate, compliance with the processing principles. An automation tool’s certifications and data processing agreement cover the tool. They don’t make your particular set of Zaps lawful.

Two principles do most of the work. Data minimisation (Article 5(1)(c)) requires personal data to be adequate, relevant and limited to what is necessary for the purpose. Storage limitation (Article 5(1)(e)) means data shouldn’t be kept in identifiable form longer than necessary. Article 25(2) adds that, by default, only the data needed for each specific purpose should be processed, which covers how much you collect, how extensively you process it, how long you store it and who can access it.

Every tool that handles client data on your behalf is a processor, and Article 28 sets the rules. You should use only processors that give sufficient guarantees of appropriate technical and organisational measures. The relationship must be covered by a contract that, among other things, limits processing to your documented instructions, and requires the processor to delete or return the data when the service ends. A processor may engage another processor only with your prior written authorisation. In practice, accept the tool’s data processing agreement and read its sub-processor list before you connect anything that touches client data.

For each automation, that means:

Send only the events you need. In the Altegio webhook settings, tick the event types the automation uses and nothing else.

Move only the fields you need. A Zap that copies whole client records when you only needed a name and an email address is doing more than the job requires.

Watch the run history. Automation tools usually keep a record of each run, including the data that passed through. Check how long it is kept and who can see it.

Set retention for every spreadsheet or list a Zap writes to, so data doesn’t sit there with no review date.

Document your data flows, even briefly: which tool holds which data, for what purpose and for how long. Article 30 lists what a record of processing activities contains, and a simple map is a good start.

Check where data goes. If a tool processes data outside the EEA, check which transfer safeguards its data processing agreement relies on.

Prune connections you no longer use. A dormant connector is a processor you’ve forgotten about.

Protect your keys. The Altegio access key is private, so never paste it into shared documents or public code, and replace any credentials a departing team member had access to.

Health data, such as notes from a consultation before an aesthetic treatment, is a special category of personal data under Article 9 and is prohibited unless one of the exceptions applies. Keep it out of Zaps altogether, and bring in a data protection professional if your automations touch it or run across several sites.

Step-by-step: your first Altegio and Zapier automation

Building a first Zap safely takes less time than most owners expect, as long as you do the groundwork before, not after.

Pick one job Altegio doesn’t already do. Check notifications, the client base and reports first. If the job is already built in, you’re done.

List the fields the job needs. Name the tools involved and the specific fields each step requires, not everything the webhook or API happens to offer.

Check terms and plan. Accept Zapier’s data processing agreement, review its sub-processors and confirm your plan includes webhooks.

Connect the webhook. In Zapier, start a Zap with a Webhooks by Zapier trigger and copy the address it gives you. In Altegio, add that address in Settings > Integrations and access > Webhooks and tick only the events you need. If you can’t add a new address there, the help centre explains the current way to do it.

Test with dummy data. Create a test client and appointment under your own name and check exactly what arrives in Zapier before a real client’s data flows through.

Review regularly. Set a retention period for the run history and any output files, and put a quarterly review in your calendar to remove what you no longer use.

Pro Tip: Look at the first test payload line by line. It costs five minutes and shows you which fields you are about to copy, so you can map only the ones you need.

If you are still choosing the system at the centre of all this, our guide on choosing a salon booking system is a useful next stop.

Practical trade-offs: when to use Zapier and when to keep it in one platform

Zapier wins on flexibility. If your salon runs three specific tools and needs one particular workflow between them, a Zap can get you there in an afternoon. An integrated platform wins on simplicity: fewer data flows to document, fewer processors to vet and fewer places where client data can drift unnoticed. It still has providers of its own, such as an SMS provider or a payment provider, so it reduces the list rather than removing it.

The decision usually comes down to scale and comfort with technical setup. A single-site salon with two or three core tools can often manage with a handful of well-configured Zaps. A multi-site business handling treatment notes across many connectors takes on a documentation burden that keeping the work in one platform avoids.

Either way, pilot first. Run one automation, check what data actually moved, then decide whether to expand or consolidate.

How Altegio fits this workflow

Altegio is built for appointment-based businesses: beauty, wellness, clinics, auto services, fitness and more. Altegio works on a Zero-Competition Policy: it doesn’t compete with your business for its audience, there is no marketplace showing your clients other businesses, and your client base is never resold. Appointments and online booking, the client base, automatic notifications, finances, inventory and payroll live in one platform, so many of the jobs salons automate with Zapier need no extra tool. When you do need a connection, webhooks and the open API are there, and the Integrations Hub covers messaging providers, Reserve with Google and the Book now button.

Altegio doesn’t charge its own commission on online payments; fees are set by the connected payment provider. The price of the subscription depends on the number of team members and the billing period (see Pricing). You can try everything with a 7-day free trial, and migration from your current system and support are free.

FAQ

Does Altegio have a Zapier integration?

Not a ready-made one: there is no Altegio app in Zapier’s directory. Altegio sends webhooks when appointments, clients and other records change, and Zapier can catch them with Webhooks by Zapier on a paid plan. A developer can also work with the Altegio API.

Is Zapier still free?

Zapier has a free plan with two-step Zaps and a limited number of tasks each month. Multi-step Zaps, premium apps and webhooks come with paid plans. Check Zapier’s pricing page for current limits, since they change.

How do I automate salon appointment reminders?

If you use Altegio, you don’t need Zapier for this. Turn on automatic notifications: the reminder goes out up to 24 hours before the visit, by email for free or by SMS and messengers through a connected provider.

Does using Zapier make my salon GDPR compliant?

No. Zapier’s certifications and data processing agreement cover the platform, but your salon remains the controller responsible for how each automation is set up. Data minimisation, processor terms, documented data flows and pruning unused connections sit with you.

What is the best software for salons?

There isn’t a single best answer. It depends on whether you prefer a booking tool joined to other apps through automation, or one platform where appointments, client records, payments and stock already live together. Fewer separate tools usually means fewer processors to manage, which is the model Altegio is built around.

Read next

Reminders and deposits: how to reduce no-shows.

Google Tag Manager now runs inside Altegio online booking: 11 ways to use it.

Accounting software for salon and spa franchises: 8 options for multi-entity owners.

“Your own system in three days, for next to nothing”: what you’re really buying from a vibe coder.

This article is general information, not legal advice; rules differ between EU countries.

Altegio has no ready-made Zapier app, but its webhooks and API can feed a Zap.
