A diary and a phone are enough for us.&#8221; We hear this sentence in salons often. But the salon pays for the diary and the phone every day: in empty slots, in no-shows nobody reminded, and in clients who could not get through and booked elsewhere. Below are five numbers that show what this habit costs \u2013 with sources named, with the assumptions shown, and with the maths of how quickly a booking system pays for itself<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">In short<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Roughly a third of bookings are made while you are closed:<\/strong> Altegio platform data puts around 30% of bookings outside opening hours, Phorest&#8217;s 2019 analysis of more than 5,000 salons as high as 46%; nobody is answering the phone at that moment<\/li>\n\n\n<li><strong>One no-show a day costs \u20ac600 a month:<\/strong> at a \u20ac30 service and twenty working days; an automatic reminder the day before solves most cases for cents<\/li>\n\n\n<li><strong>Managing bookings by hand swallows about an hour a day:<\/strong> calls, callbacks, manual reminders and reschedules; over a month that is 20 hours \u2013 \u20ac200 at a receptionist&#8217;s rate, or \u20ac600 when that time comes out of the chair<\/li>\n\n\n<li><strong>A marketplace takes up to 40% of a visit it brought in, your own booking channel 0%:<\/strong> the client should be booking with you, not in someone else&#8217;s app next to your competitors<\/li>\n\n\n<li><strong>An online booking takes about 30 seconds, a phone call four minutes:<\/strong> the booking system works at ten in the evening too, when the client either completes the booking or opens the next tab<\/li>\n\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">All the calculations below rest on one model salon that does not yet have a booking system: an average service of \u20ac30, eight visits a day, twenty working days a month, i.e. 160 visits and \u20ac4,800 of takings a month. Prices are as of September 2026; substitute your own and the order of magnitude stays.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Number 1: roughly a third of bookings are made while you are closed<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">When does a client book a hairdresser? Rarely on a Tuesday at eleven in the morning, when another client is sitting in your chair and you are not picking up. They book in the evening in front of a series, in the morning on the tram, at the weekend while planning the week. Altegio platform data shows that around 30% of bookings are made outside the salon&#8217;s opening hours. Phorest, which in 2019 analysed the bookings of more than 5,000 salons and spas, arrived at an even higher figure: 46% of bookings outside opening hours, of which 28% in the evening after closing and 18% in the morning before opening (the data was reported by the trade magazine <a href=\"https:\/\/www.salontoday.com\/articles\/data-confirms-demand-for-online-booking\">Salon Today<\/a>).<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Translate that to your own business. At 160 visits a month, a third is roughly 50 bookings that want to happen at a moment when nobody answers the phone. How many of those people call tomorrow, and how many find the salon two streets away in the meantime? You do not know exactly \u2013 and that is the whole problem. An online booking system counts these clients; without one, they leave no trace at all.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Yet <a href=\"https:\/\/alteg.io\/en\/online-booking\/\">online booking<\/a> 24\/7 works simply: a link or a button on the website, in the Instagram profile and on the Google Business Profile, the client picks a service, a specialist and a time, and the booking lands straight in the calendar. Through the Book button on Google Maps a client can book without even leaving Google: Altegio is a partner of the Reserve with Google service, and the Google Maps connection is free.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Number 2: one no-show a day costs \u20ac600 a month<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">A client who does not come and does not get in touch is the salon&#8217;s most expensive line item, because you never see it anywhere: the hour is gone, the materials are prepared, wages are running. At a \u20ac30 service and one such absence a day, that is \u20ac600 a month and \u20ac7,200 a year. Put differently: 240 services a year that you worked for free.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Most no-shows are not ill will but forgetfulness: the client booked three weeks ago and the date slipped their mind. A booking system has the cheapest weapon there is against that: an automatic reminder the day before and a few hours before the visit. The client either confirms or cancels in time, and you manage to offer the slot on. E-mail and push notifications cost nothing, an SMS a few cents \u2013 against a \u20ac30 service you would otherwise lose. Here one thing is enough to know: the first rung costs cents, and without a system you cannot manage it by hand. Eight messages every evening, manually and without a mistake, is something nobody keeps up for long.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Number 3: managing bookings by hand swallows about an hour a day<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">This number is the least visible, because it is not lost all at once but minute by minute. In the experience of salons on the Altegio platform, a booking system saves the admin side about an hour a day. Twenty working days times an hour is 20 hours a month, and those have two prices. The lower bound: take a receptionist&#8217;s \u20ac10 an hour as a placeholder for your market&#8217;s rate, and this work alone costs \u20ac200 a month before contributions. The upper bound: if the owner or the stylist answers the phone between clients, that time is priced at the chair-hour, and at \u20ac30 that is \u20ac600 a month.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The truth lies somewhere in between, because not every minute on the phone is a lost minute at the chair. But even the lower bound is several times the monthly price of a booking system. You pay afterwards. From the visit of a client the platform &#8220;brought in&#8221;, a marketplace can take a commission of 10\u201340% of the visit&#8217;s value. At a \u20ac30 service that is up to \u20ac12; ten such visits a month is \u20ac120, roughly four times the monthly price of a flat-fee booking system.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The second, quieter cost: a client from a catalogue books &#8220;in the app&#8221;, not &#8220;with you&#8221;. Their habit, history and contact details grow on the platform&#8217;s side, which next time will show them your competitors too. Your own booking channel \u2013 a link on the website, a button on Instagram, a booking from Google Maps \u2013 carries no commission at all, and <a href=\"https:\/\/alteg.io\/en\/client-base\/\">client data<\/a> stays in the salon. A booking in the widget \u2013 service, specialist, slot, phone number \u2013 takes about 30 seconds. A phone call to book takes, with the diary search included, roughly four minutes, and only if someone picks up. The difference is not comfort but conversion: a client who sees a Book button on Instagram at ten in the evening completes the booking. A client who sees only a phone number says &#8220;I&#8217;ll call tomorrow&#8221; \u2013 and tomorrow has other worries.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">It holds for regulars too. When they see free slots, they book sooner than you would have called them; when they can cancel online, they cancel the evening before instead of not turning up in the morning. Every such click is a booking nobody had to handle by hand \u2013 and that is exactly the hour a day from Number 3.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">What a booking system costs and how quickly it pays off<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Honestly: a booking system is not free. The price first. Altegio costs \u20ac29.99 a month for a team of up to two people on monthly billing (official price list, 8 September 2026, excluding VAT; the exact figure depends on your country): all features, data migration and training included, zero commission on bookings, 7 days free without a card, no permanently free plan. Free plans of other booking tools do exist \u2013 they typically cap the number of bookings and clients per month and charge separately for SMS reminders, so work out the limits before you hit them in the middle of the month.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Now the payback on the model salon. The system will not erase all of them; it only needs to erase a fraction to be paid for.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">When can you still get by without one? Three honest cases:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>A solo stylist with a full diary of regulars<\/strong> who book their next visit at the chair, and a new client reaches you only by recommendation: an online channel brings little until you want to grow<\/li>\n\n\n<li><strong>A business with no online presence:<\/strong> without a website, Instagram or a Google Business Profile the booking link has nowhere to hang; profile first, system second<\/li>\n\n\n<li><strong>When you will not use it consistently:<\/strong> a system next to a paper diary is worse than the diary alone, because sooner or later a double booking appears; either everything in the system, or nothing<\/li>\n\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">How to roll out a booking system and what to measure after 30 days<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Rollout is not a months-long project; for a small salon it is hours spread over a week rather than weeks. Four steps:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Move your clients and price list across.<\/strong> Contacts and history from the diary or a spreadsheet, services with their real duration, not the one you would like to have<\/li>\n\n\n<li><strong>Put the booking link everywhere the client looks for you.<\/strong> A button on the website, a link in the Instagram bio, the Book button on the Google Business Profile, a link in your message signature; without this step the system brings nothing, the client has to come across the booking<\/li>\n\n\n<li><strong>Switch on reminders.<\/strong> The day before and two to three hours before the visit; e-mail and push free, SMS as a fallback<\/li>\n\n\n<li><strong>Tell your clients.<\/strong> One sentence at checkout (&#8220;next time you can book from here too&#8221;), a business card with a QR code and one message to regulars<\/li>\n\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">After 30 days look at three numbers in the <a href=\"https:\/\/alteg.io\/en\/statistics-and-analytics\/\">reports<\/a>: occupancy (how much of the opening hours is sold), the no-show rate (visits not attended against all visits) and the share of returning clients. Add a fourth that did not exist without a system: how many bookings came in online. If that grows month on month, clients chose for themselves \u2013 and you merely stopped standing in their way.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">FAQ<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>What is a booking system?<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Software in which the client picks a service, a specialist and a free slot themselves, and the booking lands straight in the salon&#8217;s calendar. Reminders, the client card and reports belong to it. The point is not the calendar itself but what it removes: calls, manual reminders, no-shows nobody noticed and slots nobody counted.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Does a booking system work without a website of your own?<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Yes. A salon without a website has online booking just as available as a salon with one; a website only adds one more place where the client comes across the button.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Can I keep using a paper diary alongside the system?<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Briefly during the transition yes, long-term no. Two sources of truth sooner or later produce a double booking and a client at the door with no chair for them. Give yourself a week or two of running both, copy every future appointment into the system and close the diary; only from that moment do reminders and reports make sense.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>What about clients who still want to phone?<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Let them phone: the system does not abolish the telephone, it only relieves it of most calls. A booking taken by phone goes into the system just like an online one, and the client gets a reminder and a confirmation. In time they will find out themselves that at ten in the evening the link is faster than waiting for opening hours; you do not need to push them.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>How long does it take to roll out a booking system in a salon?<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For a salon of up to five people, usually a few hours of work spread over a week: upload the services with their real duration and the price list, move the client contacts across, set up reminders and place the link on the website, Instagram and Google.
